Location: Charlotte, NC | Pay Rate: $18 - $21.00/hour | Schedule: Mon-Fri, 8am - 5pm

PDS Tech Commercial is partnering with an industry-leading HVAC manufacturing company to hire a detail-oriented and driven Records Management Associate . In this role, you’ll play a vital part in supporting business operations through data management, administrative coordination, procurement support, and customer-focused service functions.

What You’ll Do

As a Records Management Associate, you’ll support multiple operational and administrative functions that directly contribute to the success of the service and support teams.

Day-to-Day Responsibilities:

  • Manage and maintain critical business data and records

  • Provide Accounts Receivable support and documentation management

  • Assist with job management and administrative coordination

  • Support warranty registration and warranty claim/cost recovery processing

  • Assist with procurement functions, including:

  • Parts ordering

  • Purchase order creation

  • Process credit memos, invoice cancellations, and cost transfers

  • Ensure accuracy and compliance with standard operating procedures

  • Communicate effectively with internal teams and customers

  • Prioritize and manage multiple tasks in a deadline-driven environment

What You Bring

Required Qualifications:

  • High school diploma or equivalent

  • 3+ years of shared services or administrative support experience

  • Strong organizational skills and exceptional attention to detail

  • Excellent verbal and written communication skills

  • Intermediate proficiency with Microsoft Office applications

  • Ability to work independently with minimal supervision

  • Strong time management and multitasking abilities

  • Ability to follow established processes and Standard Work Instructions

  • Professional communication skills with the ability to interact across all organizational levels

Preferred Qualifications:

  • Experience in the HVAC industry or a service-based organization

  • Knowledge of SalesForce.com

  • Knowledge of SAP S4/Hana systems

  • Bachelor’s degree with 1+ years of relevant work experience

Pay Details: $18.00 to $21.00 per hour
