Qualifications

POSITION SUMMARY

The Records Management Associate position will provide support in managing the Air Force, Air Force Personnel Center (AFPC), and tenant units Records Management Program. Provide assistance and oversight to Functional Area Records Managers (FARMS) and associated Records Custodians (RCs) to ensure all documents (electronic and hard copy) are maintained in accordance with DoD and Air Force records management program directives and instructions. Support the organization in its mission to change lives through the power of work.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  1. Assist in maintaining the Air Force Records Information Management System (AFRIMS). Review and process records management (RM) letters of appointment for local Records Management Professionals and create AFRIMS accounts. Manage and monitor records management training within AFRIMS.
  2. Provide assistance to FARMs/RCs on AFRIM System and local electronic record file plan requirements, reviews, and processes; and approve file plans within AFRIMS database.
  3. Monitor FARMs in establishing their organizational hierarchy structures, users groups/permissions spreadsheets, submitting database access requests, establishing electronic record management (ERM) file plans, maintenance, and storage areas.
  4. Provide support and conduct staff assistance visits to AFPC/tenant unit offices to ensure files/records are maintained in accordance with established file plans and Air Force policy. Conduct virtual AFRIMS & ERM file plan reviews and reports results.
  5. Submit requests on behalf of FARMS for records not stored locally. Following completion of duplication of records, prepare and return originals to the applicable Federal Records Center. Track records throughout the process and update records database.
  6. Review and provide input on how various messages, publications, instructions, reorganization packages, and forms etc., may impact record keeping compliance requirements.
  7. Work with local network support contacts to obtain quarterly reports on unauthorized file extentions detected within electronic records management file plans. Notify the owners with directions for corrective actions.
  8. Provide excellent customer service by greeting, assisting, and responding to questions and/or concerns in a positive, professional, and friendly manner.

REQUIREMENTS

  1. Must be a U.S. citizen and eligible for a security clearance
  2. High School Diploma or equivalent (GED)
  3. 1 year of clerical/office experience.
  4. Analyze, evaluate situations, and develop alternatives for conflict resolution
  5. Good communication
  6. Strong customer service
  7. Must be able to meet the physical requirements of the position.
  8. For positions that require driving, must maintain a valid driver's license and automobile insurance coverage, and be able to travel as needed if you drive your vehicle during company business.
