Job Description

The Record Clerk is responsible for maintaining, organizing, and safeguarding student and administrative records in accordance with district policies, state regulations, and federal laws. This position supports school and district operations by ensuring accurate recordkeeping, timely retrieval of information, and confidentiality of sensitive data.

Essential Duties and Responsibilities

Maintain and organize student, personnel, and administrative records in both electronic and physical filing systems.

Process requests for student transcripts, records transfers, and other official documents.

Ensure all records are accurate, complete, and compliant with district, state, and federal requirements.

Enter, update, and verify data in student information systems and other databases.

Assist with enrollment, withdrawal, and registration processes by managing related documentation.

Respond to inquiries from school staff, parents, students, and authorized agencies regarding records and documentation.

Prepare reports, correspondence, and records-related materials as requested.

Maintain confidentiality of all student and employee information in accordance with applicable laws and regulations.

Archive, retain, and dispose of records according to established retention schedules.

Assist administrators and staff with audits, compliance reviews, and records management procedures.

Perform general clerical duties including filing, copying, scanning, data entry, and answering phones.

Complete other duties as assigned by the supervisor or administration.

Qualifications

Education and Experience

High school diploma or GED required.

Associate degree or post-secondary coursework in office administration, business, or a related field preferred.

Previous clerical, records management, or administrative experience preferred.

Experience in a school district or educational setting is a plus.

Knowledge, Skills, and Abilities

Strong organizational and recordkeeping skills.

Proficiency in Microsoft Office Suite and data management systems.

Excellent attention to detail and accuracy.

Strong written and verbal communication skills.

Ability to maintain confidentiality and handle sensitive information appropriately.

Ability to prioritize tasks and meet deadlines in a fast-paced environment.

Ability to work independently and collaboratively with staff, students, parents, and community members.

Physical Requirements
