Position Summary

Southeast Steel Systems is seeking an experienced Part Time Payroll & HRIS Specialist to support weekly payroll and maintain accurate employee data for three related companies with approximately 130 employees in Florida and Georgia.

This position reports to the Human Resources Manager and is responsible for reviewing timecards, processing payroll, correcting payroll issues, maintaining employee and payroll records, updating HRIS information, preparing reports, and responding to employee payroll questions.

Payroll is processed each Monday and Tuesday. The selected candidate must be consistently available during normal business hours on both days to meet payroll deadlines. Limited hours may also be scheduled Wednesday through Friday for employee updates, reporting, corrections, and other payroll or HRIS needs.

This position may be onsite, hybrid, or remote for the right candidate.

Extensive, hands on experience with ADP Workforce Now is required and nonnegotiable. The selected candidate must be able to process payroll and maintain employee information independently within ADP Workforce Now.

Southeast Steel Systems will provide training on its internal procedures, company structure, and approval process. We will not provide training on how to use ADP Workforce Now.

Candidates without extensive ADP Workforce Now payroll and HRIS experience will not be considered.

Key Responsibilities

Payroll Processing

• Process accurate and timely weekly payroll for approximately 130 employees across three companies.

• Complete payroll processing each Monday and Tuesday using ADP Workforce Now.

• Review payroll information for accuracy before submission.

• Enter approved payroll adjustments, deductions, reimbursements, bonuses, garnishments, and corrections.

• Review payroll registers, audit reports, deduction reports, and exception reports.

• Identify and resolve payroll errors before payroll is finalized.

• Maintain accurate payroll records and supporting documentation.

Time and Attendance

• Review employee timecards for missing punches, incorrect entries, overtime, paid time off, and other exceptions.

• Confirm that managers have reviewed and approved employee timecards before payroll deadlines.

• Follow up with managers regarding missing information or approvals.

• Enter approved timecard and paid time off corrections in ADP Workforce Now.

• Verify paid time off balances, requests, and payroll entries.

HRIS Administration

• Maintain accurate employee information in ADP Workforce Now.

• Enter approved new hire information, employee changes, transfers, compensation updates, department changes, manager changes, and employment status updates.

• Process approved employee terminations and confirm that employee records are updated correctly.

• Maintain employee tax elections, direct deposit information, deductions, job information, and organizational assignments.

• Review employee data for accuracy and correct approved errors or inconsistencies.

• Perform routine audits of employee, payroll, paid time off, and timekeeping data.

• Run employee, headcount, payroll, department, deduction, and timekeeping reports.

• Support the Human Resources Manager with employee data and reporting needs.

• Maintain electronic employee records and supporting documentation.

• Troubleshoot routine ADP Workforce Now payroll, timekeeping, reporting, and employee data issues.

Employee and Manager Support

• Respond to employee questions about pay, deductions, direct deposit, taxes, paid time off, timekeeping, and employee records.

• Research payroll and HRIS concerns and coordinate corrections with the Human Resources Manager.

• Provide clear and respectful support to employees and managers.

• Direct employee relations, benefits, leave, and accommodation questions to the Human Resources Manager.

• Protect confidential employee, payroll, banking, tax, and personal information.

ADP Workforce Now Administration

• Maintain employee payroll information within ADP Workforce Now.

• Enter approved employee changes, including compensation, deductions, tax elections, direct deposit information, and department changes.

• Run payroll, overtime, timekeeping, deduction, and employee reports.

• Troubleshoot routine payroll and timekeeping issues within ADP Workforce Now.

• Maintain accurate employee and payroll data across all three companies.

Reporting and Payroll Support

• Prepare weekly payroll and overtime reports for management.

• Provide payroll reports and supporting information to Human Resources, Finance, and Accounting.

• Assist with payroll reconciliations and payroll related month end reporting.

• Maintain payroll procedures, checklists, and payroll calendars.

• Assist with year end payroll activities and payroll audits as needed.

Required Qualifications

• High school diploma or GED.

• At least two years of payroll processing experience.

• Extensive and current hands on experience with ADP Workforce Now.

• Experience maintaining employee information within an HRIS.

• Ability to independently process payroll from start to finish using ADP Workforce Now.

• Experience using ADP Workforce Now for payroll, time and attendance, paid time off, employee changes, reporting, and payroll audits.

• Experience entering new hires, employee changes, compensation updates, deductions, tax information, direct deposit information, and terminations.

• Ability to work consistently during normal business hours on Mondays and Tuesdays.

• Availability for limited hours Wednesday through Friday as needed.

• Experience reviewing timecards and correcting payroll exceptions.

• Working knowledge of payroll deductions, tax withholdings, direct deposits, paid time off, and wage and hour requirements.

• Strong attention to detail and organization.

• Ability to meet weekly payroll deadlines.

• Strong written and verbal communication skills.

• Ability to handle confidential information with integrity.

• Ability to work independently and maintain regular communication with the Human Resources Manager.

Preferred Qualifications

• Experience processing payroll for multiple companies or legal entities.

• Experience processing payroll for employees in Florida and Georgia.

• Experience with payroll reporting.

• Experience in a manufacturing, construction, or multi-location company.

Work Schedule and Location

This is a part-time position. Weekly payroll is processed on Mondays and Tuesdays, and candidates must be available during normal business hours on both days.

Limited additional hours may be required for payroll corrections, employee updates, reporting, month-end support, or year-end activities.

This role may be onsite, hybrid, or remote for the right candidate. Remote and hybrid candidates must have a reliable internet connection, a private workspace, and the ability to protect confidential employee information.

Required ADP Workforce Now Experience

Extensive ADP Workforce Now experience is required for this position.

Candidates must already know how to:
