Job description

Executive Assistant

Location: Sunnyvale, CA (Hybrid: In-office schedule - Tues, Wed, Thursday)

Duration: 3 months (possible extension)

Management style / Team structure: 1 Director who work globally at various time zones 2 Director works with core SAP system who manages NPI works US.

Day to day duties / work hours:

  • 8-5PM covering 2 execs iCal coverage.
  • Events, onboarding, offboarding, and miscellaneous.

Ideal candidate in terms of background and/or experience: Previous Experience with Apple

Soft skills: Ability to work in a fast-paced environment, ability to work in a team environment.

Top required skills: Technical systems experience, some credentials/college experience.

As Executive Assistant:

  • Managing daily calendars for 2 Company Directors, and additional Senior executives.
  • Entering, validating, and closing expense reports
  • Planning and executing meetings and team events with teams of 100+ people.
  • Planning and booking travels.
  • Supporting book keeping and budgeting within compliance rules.
  • Creating and updating databases for financial, personnel, and other information.
  • Track and replace office supplies, as necessary.
  • Assist other admins, as needed.

Skills:

  • 5+ years as executive assistant in reputed companies.
  • Strong facilitation and communication skills with large teams (50+ people).
  • Mac OS systems experience.
  • Strong ability to plan ahead and see around corners.
  • Collaborative, high energy self-starter, quick learner, and team player.

Education: Arts or business degree preferred, but not mandatory.

Nice to have’s:

  • Previous enterprise experience.
  • Project Coordination.
