We're looking for a highly organized, detail-driven Purchasing Administrative Assistant who thrives behind the scenes, keeping everything running smoothly and accurately. If you love structure, multitasking, and making sure nothing falls through the cracks, this role is for you.
We're looking for someone who can step in, take ownership of purchasing support tasks, and make an immediate impact on our team and projects. To be considered, candidates should have experience supporting purchasing, administrative operations, or construction-related workflows and be comfortable managing high-volume data entry and documentation.

What You'll Be Doing
  • Log orders into the purchasing system and send daily updates to field teams
  • Generate purchasing job folders, requisitions, and requests for quotes
  • Enter and maintain accurate data for quotes and purchasing records
  • Index purchase orders and documentation into internal systems
  • Assist Accounts Payable with invoice discrepancies and follow-ups
  • Support subcontract documentation, including tracking signatures and filing
  • Help generate purchase orders and subcontract forms as needed
  • Assist with site furnishing orders, including confirming specs and coordinating revisions
  • Issue purchase orders for backflow certifications, water audits, soils reports, and more
  • Jump in to support additional administrative and purchasing tasks as needed

  • Proficiency with Microsoft Excel and Google Docs
