Purchasing Admin

Pay: $22.00/hour
Location: West Scranton, PA (Keyser Valley Area)
Job Type: Long-Term Temporary, with possibility for permanent opportunity
Schedule: Monday-Friday, Day Shift

Job Summary

We are seeking a detail-oriented Purchasing Admin to support purchasing and administrative operations for a growing organization in West Scranton. This long-term temporary opportunity is ideal for candidates with strong organizational skills, administrative experience, and an interest in procurement, purchasing, or supply chain operations.

The Procurement Administrator plays a key role in ensuring purchasing activities are processed accurately and efficiently while supporting vendors, internal departments, and Accounts Payable. The ideal candidate will be comfortable managing multiple priorities, maintaining records, communicating with suppliers, and supporting procurement systems and processes.

Key Responsibilities

  • Prepare and process purchase orders by reviewing pricing, specifications, vendor information, and supporting documentation.
  • Coordinate with suppliers, Accounts Payable, and internal departments to resolve order discrepancies, shipment issues, and invoice questions.
  • Request quotes, follow up on order status, expedite purchases, and communicate with vendors regarding substitutions and product recommendations.
  • Assist with pricing reviews, proposal requests, and procurement initiatives.
  • Maintain vendor files, contracts, certificates of insurance, procurement records, and related documentation.
  • Manage procurement inboxes and ensure requests are routed and addressed promptly.
  • Support vendor onboarding, vendor maintenance, contract transfers, and recurring supplier requirements.
  • Provide administrative support for corporate credit card and expense programs, including Concur-related support.
  • Assist with procurement database maintenance, supplier reviews, and process improvement initiatives.
  • Organize and prepare documentation for audits, compliance reviews, and reporting requirements.
  • Provide purchasing support across multiple locations and business units.
  • Support SAP users by assisting with procurement transactions, troubleshooting basic issues, creating user guides, and helping train new users.
  • Perform general administrative duties and special projects as assigned.

Qualifications

Required

  • High School Diploma or GED.
  • Strong administrative experience with excellent attention to detail.
  • Ability to review information for accuracy and identify missing information.
  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Outlook, Excel, Word, and Teams.
  • Ability to prioritize tasks and meet deadlines in a fast-paced environment.

Preferred

  • Associate degree or coursework in Business, Supply Chain, Accounting, or a related field.
  • Experience supporting procurement, purchasing, vendor administration, or operations functions.
  • Familiarity with purchase orders, invoices, contracts, vendor records, and supplier documentation.
  • Experience with ERP or purchasing systems.
  • SAP and Concur experience strongly preferred.
  • Experience working with shared inboxes, databases, trackers, and standardized forms.
  • Process improvement mindset and ability to identify efficiencies.
