Immediate opening for a Purchasing Admin Assistant in Ontario, CA who possesses:

  • 2 to 3 years of administrative and data entry experience
  • QuickBooks experience; Desktop Enterprise version preferred
  • Inventory, accounting, or purchasing experience preferred

FULL DESCRIPTION: We are seeking a Purchasing Admin Assistant to support purchasing, inventory, accounting, and administrative functions in a detail-oriented office environment. This temp-to-hire role is responsible for data entry, clerical support, vendor follow-up, phone and email communication, QuickBooks support, and assisting the Purchasing Lead with daily administrative needs. The ideal candidate will have strong administrative and data entry experience, QuickBooks experience, and the ability to learn quickly, work independently after training, and support purchasing and inventory-related tasks accurately.

The selected candidate will be responsible for:

  • Supporting the Purchasing Lead with daily administrative and clerical tasks
  • Performing accurate data entry in support of purchasing, inventory, and accounting functions
  • Using QuickBooks to support purchasing, inventory, or accounting-related tasks
  • Following up with vendors by phone and email
  • Assisting with purchasing documentation and related administrative follow-up
  • Supporting inventory-related data, records, and documentation
  • Maintaining accurate records and organized files
  • Communicating professionally with vendors, internal staff, and management
  • Responding to phone calls and emails as needed
  • Helping ensure purchasing and inventory information is entered accurately and timely
  • Supporting office administrative needs as assigned
  • Learning internal purchasing processes and working independently after training
  • Performing other duties as assigned

The selected candidate will also possess:

  • 2 to 3 years of administrative and data entry experience required
  • QuickBooks experience required
  • QuickBooks Desktop Enterprise experience preferred
  • Inventory, accounting, or purchasing experience preferred
  • Strong data entry skills
  • Strong clerical and administrative skills
  • Ability to follow up with vendors professionally by phone and email
  • Ability to learn purchasing and inventory processes quickly
  • Ability to work independently after training
  • Strong attention to detail and accuracy
  • Strong written and verbal communication skills
  • Strong organizational skills
  • Ability to manage multiple priorities in an office environment
  • Ability to work onsite in Ontario, CA; remote flexibility may be considered depending on experience
  • Ability to work Monday through Friday from 8:00 AM to 5:00 PM
  • Ability to support a temp-to-hire opportunity

Physical Requirements:

  • Ability to sit and work at a computer for extended periods
  • Ability to communicate by phone, email, and in person throughout the workday
  • Ability to review purchasing records, vendor information, inventory data, QuickBooks entries, spreadsheets, emails, and computer screens for extended periods
