Position OverviewOur client is seeking a highly organized, proactive, and professional Executive Assistant IV to support senior leadership within a fast-paced and highly confidential environment. This role is ideal for an experienced executive assistant who thrives on managing multiple priorities, supporting executive teams, coordinating complex schedules, and serving as a trusted partner across departments.
The successful candidate will possess exceptional communication skills, strong business acumen, outstanding attention to detail, and the ability to work independently while maintaining confidentiality and professionalism.
Key Responsibilities
Executive Support
  • Provide direct administrative support to executive leadership, including calendar management, scheduling, and travel coordination.
  • Prepare, edit, and distribute correspondence, presentations, reports, and executive communications.
  • Coordinate executive meetings, leadership reviews, and special projects.
  • Track priorities, action items, and deadlines to ensure timely completion.
  • Serve as a primary liaison between executives and internal and external stakeholders.
Office & Administrative Operations
  • Support daily office operations and maintain an organized, professional work environment.
  • Coordinate onboarding logistics, workspace preparation, and equipment requests for new team members.
  • Manage office supplies, vendor relationships, and facility-related needs.
  • Organize team meetings, events, and employee engagement activities.
Cross-Functional Coordination
  • Partner with technical, engineering, operations, and business teams to coordinate meetings, reviews, and project activities.
  • Assist with organizing presentations, customer meetings, and leadership briefings.
  • Facilitate communication across departments to support business objectives.
Operations Support
  • Assist with expense reports, invoice tracking, timesheet coordination, and administrative processes.
  • Maintain organized records, documentation, and filing systems.
  • Handle sensitive and confidential information with discretion and professionalism.
  • Support compliance-related documentation and administrative requirements.
Qualifications
Required
  • High school diploma or equivalent.
  • Minimum of 5 years of experience in an Executive Assistant, Senior Administrative Assistant, Office Manager, or similar role.
  • Experience supporting senior executives in a fast-paced business environment.
  • Strong proficiency with Microsoft Office Suite, including Outlook, Excel, PowerPoint, and Word.
  • Exceptional organizational, multitasking, and communication skills.
  • Ability to work independently with minimal supervision.
