Status: Non-Exempt/Hourly

Location: Westfield-New Holland


Work Schedule: Typical Hours are 8-5, Monday to Friday


Purpose of Position:


The Office Administrative Assistant is responsible for providing organization and administrative support for the office team and manager. This may include but is not limited to performing office duties, performing accounts receivable & payable in NAV and QuickBooks, scheduling meetings and events, researching, receptionist work, and writing.

  • Clearly and effectively conveys information, both verbally and in writing.
  • Manages multiple tasks or projects simultaneously.
  • Understands and meets the needs of customers, providing support and service.
  • Organizes tasks, projects, and resources effectively.

Essential Characteristics:

Duties May Include:

  • Creating slides, announcements, and sign-up sheets.
  • Answering phone calls – includes answering basic questions, and transferring calls.
  • Assisting customers at the front desk with egg sales and supply sales as needed.
  • Compiling financial and other business reports for management as needed.
  • Assisting with office duties as needed.
  • Assisting in executive assistant tasks.
  • All other tasks as assigned.
Requirements:
  • High school diploma, or GED/equivalent experience.
  • Proficiency in computer tasks, including typing, emailing, and internet use
  • Proficiency in Microsoft Word and Excel
  • Ability to learn NAV and QuickBooks.
  • Ability to read, analyze, and interpret technical procedures, financial reports, or governmental regulations.
  • Ability to write reports, business correspondence, and standard operating procedures.
  • Ability to effectively present information and respond to questions from groups of managers, customers, and the public.
  • Ability to calculate figures and amounts such as discounts, interest, proportions, percentages, area, circumference, and volume.
  • Ability to apply concepts of basic algebra and geometry.

Physical Requirements / Environmental Conditions:


The Office Administrative Assistant will have to spend long hours sitting and using office equipment and computers, which can cause muscle strain. The incumbent may also have to do some light lifting of supplies and materials from time to time. Westfield Egg Farm may be a busy facility. The incumbent may have to manage several projects at one time and may be interrupted frequently to meet the needs and requests of employees and customers. The Office Administrative Assistant may find the environment to be busy and/or noisy and will need excellent organizational and time/stress management skills to complete the required tasks.
