About the Role

We are a large, high-energy tax accounting firm seeking a sharp, people-savvy Administrative Assistant to join our fast-paced office. This role goes beyond clerical support—you’ll be at the heart of keeping our firm running smoothly while ensuring clients feel welcomed, supported, and cared for.

As the first point of contact for many of our clients, you’ll play a critical role in creating a positive experience from the moment they walk in or call. You’ll balance administrative responsibilities with thoughtful client interaction, making sure every detail is handled with accuracy, professionalism, and warmth.

Key Responsibilities

  • Welcome, greet, and assist onsite guests with professionalism and care.
  • Answer and direct inbound telephone calls, ensuring prompt and helpful responses.
  • Plan and schedule client appointments with accuracy and efficiency.
  • Support consultants and leadership with scheduling, documentation, and workflow coordination.
  • Manage your consultants column to ensure operational efficiency from the beginning to end of the clients experience.
  • Handle client intake processes, ensuring accurate and timely collection of information.
  • Maintain organized filing systems for both digital and physical documents.
  • Monitor calls, emails, and inquiries, providing empathetic and timely follow-ups.
  • Anticipate needs and proactively resolve issues to keep the client experience running smoothly.
  • Perform all other administrative office tasks as needed to support the team.
