Title: Purchasing Administrator
Reports to: Purchasing Manager
Class: Full-Time, Hourly, Full Benefit Package
POSITION OVERVIEW: As a Purchasing Administrator you will be responsible for sourcing equipment, goods and services. The successful candidate will assist in strategic procurement activities across multiple categories of expenditure, search for better deals, and find more profitable suppliers. Responsibilities include, but are not limited to purchasing material, reviewing order acknowledgements, updating POs as needed, updating price lists, tracking deliveries, setting up and tracking box sales, and assisting with reporting.
KEY DUTIES INCLUDE BUT ARE NOT LIMITED TO:
  1. Purchasing of materials for jobs, box sales, service and consumables
  2. Working with vendors/suppliers for quality goods at competitive pricing.
  3. Working with warehouse personnel to use items from surplus stock when available
  4. Reviewing quantity and timing of deliveries
  5. Assisting in material returns and/or transfers
  6. Understanding of tax requirements
  7. Keeping price lists up to date and working with estimating
  8. Identifying discontinued equipment for archiving and sourcing equivalent replacements
  9. Maintaining delivery schedules with vendors
  10. Keeping superiors informed of progress and any backorder issues
  11. Maintaining all records of material flow (scanning, typing, copying, filing etc.)
  12. Maintaining current knowledge of Company and Company operations, policies, and organizations.

ACCOUNTABILITY: The Purchasing Administrator will be accountable to the Purchasing Manager. Secondary accountability will be to the other management team members, employees, and customers of the company.
TRAVEL: Some out-of-town travel may be required.
ADDITIONAL SKILLS AND ABILITIES:
  1. Excellent written and verbal communication skills.
  2. Experience as a Buyer or related field.
  3. Knowledge of inventory and supply chain management.
  4. Strong critical thinking and negotiation skills.
  5. Must be responsible, self-motivated, self-starter, personable and well-organized.
  6. Superior customer service skills to deal with both internal and external customers.
  7. Ability to manage multiple tasks simultaneously.
  8. Strong interpersonal skills; ability to work with diverse groups.
  9. Proficiency with Microsoft Suite and Smartsheet, Vista also preferred.
  10. Ability to demonstrate planning, organizing and implementing skills which allow the successful completion of a project by a specific due date.
  11. Must be able to effectively handle stressful situations.
  12. Must be able to read and effectively interpret general business documentation.
  13. Valid and current driver's license.

Education Requirements
  1. Minimum: Associate's degree in business management, Procurement or related field.
  2. Preferred: Bachelor's degree in supply chain management, Logistics or Business Management.

Physical, Mental and Environmental Requirements:
  1. Employees are required to stand, walk, climb, sit and use hands and fingers.
  2. Some light lifting of objects is required.
  3. Reaching, grasping, and carrying activities are also required.
  4. The noise level in the work environment is usually moderate.
  5. Although most work is performed inside, occasional outside activities are subject to seasonal temperature fluctuations.
