JobOverview

We are looking for a highly organized and customer-oriented Service Administrator to join our team. The Service Administrator willbe responsible forhandling administrative tasks related to customer service, including managing service schedules,maintainingaccuraterecords, processing invoices, and ensuring smooth communication between customers and the service team. The ideal candidate willpossessexcellent organizational skills, attention to detail, and a strong ability to handle multiple tasks simultaneously.

CoreFunctions

• Manage and coordinate service appointments, ensuring efficient scheduling of technicians andtimelyservice delivery.

• Serveas the firstpointofcontactforcustomer inquiries,addressingservice-relatedquestions,providingupdates,andensuringcustomersatisfaction.

• Create,update,andcloseworkordersin the system,ensuringalldetailsareaccuratelydocumented.

• Process service-related invoices, ensuringaccuratebilling for parts, labor, and anyadditionalcharges. Handle customer billing inquiries and discrepancies.

• Maintaindetailedrecordsof servicehistory,warranties,andrepairdocumentationforcustomersandinternalpurposes.

• Coordinatewithpartsdepartmentstoensuretheavailabilityofrequiredpartsandsuppliesforservicejobs.

• Input service data into systems.

• Reachout tocustomerspost-service toensuresatisfaction,requestfeedback,andaddressanyissuesorconcerns.

• Provide administrativeassistanceto the service team, including assisting with paperwork, filing, and general office support.

CometenciesandQualifications

• Highschooldiploma orequivalentrequired.Associate'sdegreeinbusinessadministrationor arelatedfieldisa plus.

• Minimum of2yearsofexperiencein an administrative or customer service role,preferablyin a service department orsimilarenvironment.

• Strongorganizationalandmultitaskingabilities.

• Excellentcommunicationskills,bothverbalandwritten.

• Proficiencywithservice managementsoftware, Microsoft Office Suite,andotherbasicofficetools.

• Abilitytoworkunderpressureandmeetdeadlineswhilemaintainingattentiontodetail.

• Basicunderstandingof serviceprocessesandcustomer serviceprinciples.

• Problem-solvingskillsandtheabilitytohandlecustomercomplaintsprofessionally.

PhysicalRequirements

• Ability to sit forlong periods, use office equipment (computer, phone), and occasionallylift upto25lbspounds.(infrequently)
