Position: Office Administrator (Part-Time) Reports to: Owner / Office Manager

Location: On-site — Columbus, Indiana

Schedule: Part-time, approximately 20–25 hours per week (weekday daytime hours, specific schedule flexible)


Position Summary

South Central Roofing, Inc. is a growing commercial roofing and sheet metal company seeking a dependable, detail-oriented part-time Office Administrator to keep our front office running smoothly. This person is the first point of contact for customers, vendors, and field crews, and plays a key role in keeping our records, billing, and paperwork organized. The ideal candidate is comfortable answering phones, staying organized in a busy environment, and working in QuickBooks.

Key Responsibilities

  • Answer incoming phone calls professionally, route calls, take clear messages, and follow up as needed.
  • Greet visitors, vendors, and customers, and maintain a welcoming, organized front office.
  • Enter and maintain data in QuickBooks, including invoices, bills, customer and vendor records, and payments.
  • Assist with accounts payable and accounts receivable: entering vendor bills, creating customer invoices, and helping track outstanding balances.
  • File and organize both digital and physical documents, including job files, contracts, purchase orders, and material receipts.
  • Track and file certificates of insurance, lien waivers, and other project compliance paperwork.
  • Match packing slips and delivery tickets to purchase orders and vendor invoices.
  • Manage incoming and outgoing mail, email correspondence, and office supply ordering.
  • Provide general administrative support to the owner, estimators, and project managers as needed.

Qualifications

  • High school diploma or equivalent; additional office or bookkeeping training a plus.
  • Prior experience in an office administration, receptionist, or bookkeeping role.
  • Working knowledge of QuickBooks (Desktop or Online) strongly preferred.
  • Proficiency with Microsoft Office, especially Outlook, Word, and Excel.
  • Strong phone etiquette and professional written and verbal communication.
  • Excellent organizational skills and attention to detail; able to manage multiple tasks and deadlines.
  • Reliable, self-directed, and able to maintain confidentiality of business and financial information.
  • Experience in construction, roofing, or the trades is a plus but not required.
