Job description

Receptionist/Post Office Clerk

Franklin, Indiana

Overview

Shift: Full Time- Day Shift and Evening Shift

Responsibilities
  • Serve as receptionist/switchboard operator
  • Greet, direct and aid residents and visitors courteously at all times
  • Visually observe lobby and report to security or nursing as needed
  • Operate switchboard, answering and transferring calls, making long distance calls and taking messages as needed
  • Answer panic button calls and obtain emergency assistance as needed following safety procedures
  • Daily, update the resident information directory and dial code book
  • Keep accurate records of residents on leave of absence or hospital stay
  • Notify all Franklin users via email of resident admissions, telephone numbers, permanent room changes, withdrawals and deaths
  • Control fire panel and follow proper procedure when alarm sounds
  • Announce and follow proper procedures for "Code Gray" or "Code Black" warnings
  • Check on resident(s) for dining room hostess by following proper procedures
  • Make all public address announcements for the community
  • Run copies for residents and staff, collecting fees as appropriate
  • Maintain forms and records of all keys, signing out all keys issued, and receipting all keys returned
  • Track and prepare daily journal deliveries for resident pick up each morning
  • Make guest meal and guest room reservations, collecting or billing charges for the same and notifying proper departments
  • Collect and turn over to supervisor all money collected for guest meals, guest rooms, copy work and other services as authorized
  • Maintain club house reservation log and keep records of signed contracts
  • Monitor prescription box
  • Assist residents with maintenance requests
  • Sale employee meal tickets
  • Maintain copy machine and shredder box
  • Keep records as instructed by the switchboard operator
  • Be knowledgeable of post office functions, filling in and assisting as needed
  • Operate copy machine to copy other items for community use as requested
Qualifications
  • Education and/or experience: High school diploma or general education degree (GED), or one to three months' related experience and/or training, or equivalent combination of education and experience
  • Computer skills: To perform this job successfully, an individual should have knowledge of Microsoft Word & Excel processing software.
