Responsibilities:

Front Office & Reception

  • Visitor reception - Greet and assist customers, vendors, and guests; maintain a clean and organized lobby.
  • Call handling - Answer, screen, and route incoming calls promptly and professionally.
  • Front desk coordination - Maintain office supplies, forms, and informational materials; support daily office flow.

Administrative & Clerical Support

  • Document preparation - Draft letters, memos, reports, and internal communications.
  • Recordkeeping - Enter and maintain accurate data across office and accounting systems.
  • Mail processing - Sort, distribute, and prepare incoming and outgoing mail.
  • Scheduling support - Assist with calendars, appointments, and meeting coordination.

Accounting & Financial Support

  • Transaction posting - Record vouchers, cash, checks, and electronic payments.
  • Customer payment processing - Process payments and prepare daily deposit reports.
  • Account reconciliations - Verify accuracy of financial entries and resolve discrepancies.
  • AP/AR support - Assist with invoice entry, vendor communication, and customer billing.
  • Financial documentation - Maintain organized financial files and support monthly reporting.

Cross‑Departmental & Event Support

  • Miscellaneous departmental assistance - Provide general support to production, HR, accounting, and leadership teams as needed.
  • Event preparation - Assist with planning, setup, and administrative tasks for company events, employee functions, and departmental activities.
  • Logistics coordination - Help prepare materials, signage, forms, schedules, and communication pieces for internal events.
  • On‑site support - Offer day‑of assistance such as greeting attendees, distributing materials, and coordinating with internal stakeholders.
  • Errand runs - Complete occasional local errands such as post office deliveries, bank runs and miscellaneous supply procurement to support operational and event needs.

Experience and Skills:

  • Office professionalism - Strong communication, customer service, and front‑office etiquette.
  • Accounting fundamentals - Basic knowledge of bookkeeping, reconciliations, and financial recordkeeping.
  • Technical proficiency - Skilled in Microsoft Office; experience with accounting software preferred.
  • Organization & accuracy - Ability to manage multiple tasks, maintain precise records, and meet deadlines.
  • Confidentiality - Commitment to protecting sensitive financial and personnel information.
  • Familiarity with manufacturing or production environments is beneficial.
  • Prior experience in front office, administrative, or accounting clerk roles – preferred.
  • Experience with cash handling, AP/AR, or customer billing – preferred.

Compensation: Competitive pay and bonus package

Schedule: Monday through Friday, 40 hours per week
