SUBCONTRACT/PURCHASING ADMINISTRATOR
The Subcontract/Purchasing Administrator manages procurement and subcontract administration activities in support of Federal Government and Department of Defense (DoD) contracts. This position ensures that purchasing and subcontracting actions comply with company policies, contract requirements, and applicable federal acquisition regulations. With approximately 10 years of experience, the administrator supports the full procurement lifecycle, including vendor sourcing, subcontract issuance, purchase order administration, cost tracking, and documentation management. The individual may have to process procurement transactions, maintain subcontract records, track commitments and expenditures, and support financial reporting and audit readiness.
RESPONSIBILITIES
  • Administer procurement and subcontract activities from requisition through subcontract or purchase order closeout.
  • Prepare and issue purchase orders, subcontracts, and modifications in accordance with contract requirements and procurement procedures.
  • Ensure procurement activities comply with applicable federal contracting regulations, including FAR and DFARS requirements.
  • Coordinate vendor and subcontractor onboarding, including the collection of required documentation and compliance certifications.
  • Maintain procurement files and documentation to support regulatory compliance and audit readiness.
  • Review subcontractor invoices and supporting documentation for accuracy, allowability, and compliance with subcontract terms.
  • Monitor subcontract funding, deliverables, and performance milestones.
  • Enter and maintain procurement transactions within Costpoint, including purchase orders, commitments, and subcontract records.
  • Support program managers with procurement planning, vendor selection, and cost monitoring.
  • Assist with internal and external audits by providing procurement documentation and transaction support.
  • Coordinate with accounting, contracts, and program teams to ensure proper cost allocation and reporting.

QUALIFICATIONS
  • Bachelor's degree in Business Administration, Supply Chain Management, Finance, or related field (or equivalent professional experience).
  • Approximately 10 years of experience in procurement, purchasing, or subcontract administration, with Costpoint experience preferred.
  • Experience supporting Federal Government and/or DoD contracts is required.
  • Demonstrated experience working in environments governed by FAR and DFARS procurement regulations.
  • Hands-on experience using Costpoint for procurement and financial tracking.
  • Strong organizational, documentation, and vendor coordination skills.
  • Ability to manage multiple procurement actions simultaneously in a deadline-driven environment.
  • Proficiency in Microsoft Office applications, particularly Excel.
