Job description

We are searching for a Admin Assistant to join our culinary team! The Admin Assistant is responsible for assisting the F&B Director with the planning, organizing, directing, coordinating and execution all department activities.ย ย 

$19.50 per hour.

Preferred:

1 year of senior living experience

GENERAL SUMMARYย ย 

The Admin Assistant facilitates the efficient operation of the Food & Beverage department by performing a variety of clerical, administrative, and direct service tasks.ย 

PRINCIPLE DUTIES

  • ย  In the absence of the Director of Food & Beverage, supervises the dining venuesย 
  • ย  Assists the Director of Food & Beverage with staffing, scheduling, training of staffย ย 
  • ย  Responds to and resolves administrative inquiries and questions.ย 
  • ย  Manages the point-of-sale (POS) systems with activities including but not limited to meal counts, reservations and salesย 
  • ย  Participates in cost control measures and inventories.ย ย 
  • ย  Tracks and processes accounts payable for the departmentย 
  • ย Submits company purchase card reconciliationsย 
  • ย  Ensures compliance with regulatory requirements for various programs including but not limited to the social clubย 
  • ย  Drafts communication for department and distributes accordinglyย 
  • ย Prepares agendas and written summaries, schedules meetings. ย  Maintains records and filing systemsย 
  • ย  Coordinates and plans events for the department while working with other key personnel in other departments (i.e. Marketing, Dining Services, etc.).ย 
  • ย  Performs other duties as assigned.ย 

QUALIFICATIONSย 

  • ย High school diploma or equivalent. A minimum of two years supervisory or supportive experience within fine dining restaurants, clubs, hotels or similar industries.ย 
  • ย Proven ability with computer and communication skills. Must have knowledge of Microsoft Office Suite products.ย  ย 
  • Ability to demonstrate strong leadership skills. Ability to make quick decisions in high stress situations. Well organized.ย 
  • Ability to work flexible schedule including weekends and holidays.ย 
  • Excellent customer services skills. Ability with communicate with, understand, empathize with, work with, and be tolerant of residents, families, visitors, peers, supervisors and subordinates.ย ย 

PHYSICAL REQUIREMENTS/WORKING CONDITIONSย 

Must be able to stand and walk 90% of the work day; ability to stoop, stand and stretch frequently. Position may require sitting for prolonged periods of time working on a computer. Must be able to lift 50 pounds frequently. Must be able to see, hear and speak. Must be able to read, write and communicate in English.ย
