About the Role
The Executive Assistant provides high-level administrative and operational support to physician leaders within DaVita's Office of the Chief Medical Officer. These leaders guide enterprise clinical strategy, quality, safety, education, and care model decisions across DaVita. This role serves as a trusted partner, managing complex calendars, communications, meetings, and coordination to help the OCMO leadership team operate effectively.
We are seeking a highly organized and resourceful professional who thrives in a fast-paced environment. The ideal candidate combines strong administrative expertise with strategic thinking, proactive problem-solving skills, and a high degree of adaptability. This role offers significant opportunity to develop healthcare industry expertise while working collaboratively with a passionate and driven clinical leadership team.
Essential Duties and Responsibilities
Calendar & Schedule Management
  • Orchestrate complex calendars across multiple time zones and stakeholder groups for various physician executives.
  • Coordinate extensive domestic travel arrangements and itineraries.
  • Manage high-volume meeting schedules including enterprise clinical leadership discussions, clinical reviews, and operational sessions.
  • Proactively identify and resolve scheduling conflicts before they impact leadership.
  • Support flexible hours, including occasional early morning or evening meetings to accommodate national clinical leadership schedules across the country.

Administrative Excellence & Project Support
  • Maintain exceptional organization of documents, emails, and executive communications.
  • Draft, proofread, and manage internal and external communications on behalf of the physician leaders.
  • Process expense reports and manage administrative documentation accurately and efficiently.
  • Coordinate meeting logistics, anticipate needs, and prepare necessary materials ahead of time.
  • Manage end-to-end logistics for offsites, conferences, and special events, including venue booking, catering, and technology setup.
  • Prepare agendas, take detailed notes, and actively track action items to ensure follow-through.
  • Provide administrative and project support for broader clinical initiatives, physician education events, and medical director onboarding.

Strategic Communication & Relationship Management
  • Serve as the primary point of contact between the executives and internal/external stakeholders.
  • Screen and prioritize emails, calls, and requests to ensure an efficient communication flow.
  • Anticipate executive needs and resolve administrative challenges proactively.
  • Maintain strong communication channels to ensure clear priorities across the OCMO team.
  • Build highly effective relationships with key internal and external stakeholders, including field operations leaders, clinical services teams, enterprise physician leaders, and other executive assistants.
  • Handle sensitive communications and highly confidential information with absolute discretion.
  • Keep supported physician leaders informed of upcoming deadlines and critical deliverables.

Qualifications & Key Competencies
Required Experience:
  • Proven track record as an Executive Assistant supporting senior leadership (VP, C-Suite, Senior Director, or Physician Executives).
  • Minimum of 4+ years' experience providing administrative support to senior-level executives, including complex calendar, travel, and communications management in a fast-paced environment.
  • Advanced proficiency in the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (Microsoft Teams).
  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.

Work Environment & Physical Demands
  • Work Environment: Level III - Moderate noise (business office context). The normal work routine involves no exposure to blood, body fluids, or other hazardous conditions. Normal hazards associated with business travel if required.
  • Physical Demands: Ability to lift a minimum of 2 pounds to a maximum of 15 pounds unassisted; able to sit for extended periods of time and to perform some standing, walking, and reaching. Ability to use a computer and all peripherals for extended periods.

The Wage Range for the role is $26.50 - $40.50 per hour.

New York Exempt: New York City and Long Island: $66,300.00/year, Nassau, Suffolk, and Westchester counties: $66,300.00/year, Remainder of New York state: $62,353.20/year New York Non-exempt: New York City and Long Island: $17.00/hour, Nassau, Suffolk, and Westchester counties: $17.00/hour, Remainder of New York state: $16.00/hour
Washington Exempt: $80,168.40/year Washington Non-exempt: Bellingham: $19.13/hour, Burien: $21.63/hour, Everette: $20.77/hour, Unincorporated King County: $20.82/hour, Renton: $21.57/hour, Seattle: $21.30/hour, Tukwila: $21.65/hour, Remainder of Washington state: $17.13/hour
