Admin Associate/Executive Assistant (C-Suite)

Pay Rate: $30-35 Hourly Hours: M-F | 8-5 (flexible) Location: 1290 Ave of America, New York NY

Overview of Work Environment/Client Nuances: The HM is seeking an experienced Executive Assistant to support the C-suite, providing high-level administrative services and ensuring seamless coordination with internal teams and external partners.

Resource Typical Working Day:

  • Provide administrative services for the C-suite
  • Serve as the primary point of contact for executive-level communications.
  • Manage calendars, schedule meetings, and coordinate travel arrangements for executives.
  • Escort and coordinate with vendors
  • Welcome and guide external vendors during onsite visits.
  • Ensure proper access and compliance with company protocols.
  • Act as liaison between vendors and internal stakeholders.
  • Assist with office supplies
  • Monitor inventory of office supplies and place orders when necessary.
  • Coordinate with suppliers to ensure timely delivery.
  • Track expenses and maintain records for supply management.
  • Perform standard executive assistant duties
  • Handle phone calls, emails, and correspondence on behalf of executives.
  • Support executives with ad hoc administrative tasks.
  • Collaborate with security and cleaning vendors
  • Partner with the security team to manage access badges and visitor logs.
  • Coordinate with cleaning vendors to maintain office cleanliness and standards.
  • Address facility-related issues promptly to ensure a safe and professional environment.
