Reliance is a construction services firm headquartered in Indianapolis, Indiana, with an office in North Carolina. Reliance provides solutions specific to each client’s needs for Commissioning, Test and Balance, Construction Quality Assurance, and Procurement work. Whether our clients are implementing new equipment and processes or evaluating current facility and operational challenges, our trained and certified staff will deliver results to meet the clients’ needs.

As an Executive Assistant at Reliance, you will operate in a growing organization supporting the President as a key business parter to ensure smooth operations. This is a full-time, 1st shift on site position that reports to the President in Indianapolis, IN.

Primary responsibilities of the position include:

  • Calendar and Schedule Management: Oversee the President’s calendar, schedule meetings, appointments, and events, and coordinate internal and external engagements to optimize time management.
  • Travel Coordination: Arrange all travel logistics, including flights, accommodations, and ground transportation for business trips.
  • Meeting Preparation: Prepare materials, presentations, drafts for meetings.
  • Communication Management: Screen and prioritize emails, phone calls, and correspondence, acting as a liaison between the President and staff or external parties.
  • Operational Support: Assist with office administration, metrics, human resources tasks, staff onboarding, internal logistics, and basic finance processes.
  • Confidentiality and Discretion: Handle sensitive information with professionalism and always maintain confidentiality.
  • Strategic Assistance: Support the President in project management, organizational planning, and critical business initiatives.
  • Support other staff as needed.
  • Manage time effectively and prioritize tasks to ensure needs are met.
  • Exhibit regular and reliable attendance at work.

Additional responsibilities of the position include:

  • Other duties as assigned by Company Management.
  • Complete required company training as assigned.

Minimum qualifications:

  • Education: Bachelor/Associate Degree in related field or Equivalent Experience.
  • Experience: Previous experience supporting executives and their teams, operations management, calendaring, domestic travel arrangements, and onboarding personnel.
  • Valid Driver’s license.
  • Clean MVR.
  • Proficiency with Microsoft Office (e.g. Excel, Word, PowerPoint, and Outlook), SharePoint, and Teams.
