Job Description:
The Patient Scheduler is an office-based, non-clinical position responsible for scheduling appointments and to ensure Providence ElderPlace participants are transported to and from scheduled medical appointments.

The job duties listed are essential functions of the position. However, other duties may be assigned, and may also be considered essential functions of the position.

The caregiver must be sufficiently fluent in the English language to satisfactorily perform the essential functions of the position. The degree of fluency required will vary depending upon the nature of the position.

Caregivers are expected to honor the Mission, Values, Vision and Promise and adhere to the Code of Conduct, policies and standards of their organization.

Duties of the Patient Scheduler & Transportation Dispatcher Position:

  • Creates and maintains Clinic schedule for the PCP, RN, LPNs including booking exam rooms and nursing care areas.
  • Maintains Clinic calendar.
  • Inputs return visit requests and semi-annual assessments into schedule.
  • Creates and maintains schedule for the internal specialists including dentist, hygienist, optometrist, Ortho shoes and Psychiatrist.
  • Schedules appointments for participants to see contracted medical specialists based on referrals made by Primary Care Providers.
  • Coordinates participants medical appointment schedules with ADH and other disciplines.
  • Maintains contact with specialist providers re schedule.
  • Responsible for dispatching drivers to transport participants to and from all medical appointments and adult day health visits.
  • Manages all transportation requests and coordinates efficient routing to maximize transportation resources.
  • Creates scheduled routes for transportation and makes adjustments to meet unanticipated changes.
  • Works with the Transportation manager and drivers to determine safest route.
  • Utilizes transportation software and medical records software to track and schedule medical appointments for participants.
  • Obtains outside lab work, medical imaging and external vendors as needed.
  • Makes sure necessary paperwork is filled out.
  • Submits transportation requests in Easy Rides for all appointments.
  • Orders Clinic supplies, maintaining a system of packing slips and invoices to validate the accuracy of bills received and coordinates delivery of supplies.
  • Sends out appointment notices and makes reminder calls to participants/caregivers/escorts of their appointments. .
  • Requests for records from the hospitals, nursing homes, providers, external specialist appointments and new ROIs.
  • Creates packets for the ER hospital, Nursing home and AFH Admissions. .
  • Covers breaks and lunch for the MLK receptionist as needed.
  • Sort and Distribute mails and Physician faxes.
  • Back-up for the receptionist at the all sites.
  • Operates office systems and equipment such as personal computers, multi-line telephones, transcribers, copiers, fax machines, records systems and other related equipment.
  • Coordinates work with internal and external contacts as required.

Required Education & Experience:

  • An Associate's degree is preferred.
  • 2 years of experience in scheduling medical appointments and/or dispatching medical transportation is required.

  • Proficiency in Outlook is required and knowledge of other Microsoft Office products is preferred.
  • Organizational and interpersonal skills, judgment, discretion, tact, respect for confidentiality, and the ability to manage shifting priorities are critical in this position.
  • The applicant must be highly professional, possess excellent verbal and written communication skills, and be a team player with a strong work ethic.
  • Ability to communicate in English effectively both verbally and in writing.
