Job description

Position Summary:
The basic function of the Scheduling Assistant is to provide support for scheduling functions.
Essential Duties and Responsibilities include the following. Other duties may be assigned.
  • Entering Customer Sales Orders
  • Generate Forecasting and Auto-Sales
  • Create & Schedule Jobs
  • Manage & Review Multiple Customer Portals: Date Adjustments, Order Acknowledgements, Tracking Data Input, & More
  • Customer Email Communications: Order Status, Quantity Adjustments, Open Order Reports, & More
  • Review Comparison Reports: Verify and correct data between customers and our ERP system.
  • Review and release jobs to the shop floor
  • Run daily reports that correspond with scheduling, sales, engineering, shipping, and customers.
  • Assist Managers/Supervisors/Shop Floor Employees with Priority List Items and keeping status of jobs updated.
  • Assist Shipping department with Customer Logistics
  • Provide back up support for Engineering Assistants as needed.
  • Provide back up support when the Orders/Client Relations Manager is not available.

Qualifications:
To perform this job successfully an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.   • Advanced level computer skills in Microsoft Office products, particularly Word and Excel
  • Basic ERP system knowledge
  • In depth knowledge of clerical and organizational techniques
  • Excellent written and verbal communication skills
  • Ability to multi-task and follow through
  • Must keep composure as this position handles a lot and deals with not only our employees, but the customer base
  • Work well in a team environment, maintain a positive attitude and willingness to learn
  • Confidentiality is a must

Education and/or Experience:
High School Diploma or GED
Preferred: Diploma or AA degree in Office Administration/Administrative Assistant. Six months to one year related experience and/or training in a manufacturing setting preferred.
Physical Demands Include:
  • Sitting, standing, and walking
  • Use of hands and arms to operate office equipment
  • Being able to see (20/25 vision with glasses, 20/25 without) and hear (with mechanical assistance if necessary) sufficient to understand and comprehend individual one-on-one conversations

Work Environment:
This person will work in an office which is a temperature controlled environment with moderate noise. There will be outside time spent in the manufacturing environment. This setting involves manufacturing equipment with others working in close proximity.
