Summary/Objective:

The Scheduling Assistant will support the Scheduling Manager and operation teams by managing administrative tasks related to scheduling initiatives, ensuring smooth and efficient operations across the department. Overall, the Scheduling Assistant will play a crucial role in ensuring the smooth and efficient operation of the Scheduling department by providing essential administrative support to the team. This position requires someone who is highly organized, detail-oriented, and able to manage multiple projects and tasks in a demanding environment.

A successful candidate in this role will have advanced Microsoft Office data management tools knowledge in Excel Formulas, Power Query, Word Content Controls, and SharePoint. 

Essential Functions:
  • Help coordinate and develop schedule processes, and assist in meetings, including sending out invitations and reminders to participants.
  • Will learn ACI standards and best project practice for schedule development.
  • Assists with collaborative meetings to ensure that all activities are properly integrated into the base schedule using critical path methodology.
  • Will help maintain governance and efficiency of processes used to capture key milestone events while offering analytical data for assessments and recommendations to mitigate schedule risks.
  • Assist in monitoring and updating Project Performance Indicators on milestone objectives.
  • Learn how to document, make changes, records notes/issues, and assess schedules.
  • Help with managing electronic workstations for information gathering in the shops.
  • Works with the shops to implement procedures for gathering information on production and tracking.
  • Works with Scheduling Manager to develop new features for existing tools and new tools for internal and cross-departmental collaboration.
  • Monitors automatic functions for generating weekly reports and other documentation for key stakeholders.
  • Performs other duties as assigned.

Required:

  • Associate degree (and/or equivalent experience) in computer science, data analysis, engineering, or a related field of study.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Access).
  • Experience with Microsoft Office data management tools such as Excel Formulas, Power Query, Word Content Controls, and SharePoint.
  • Excellent communication and interpersonal skills.

The work environment and physical demands required would be representative of those that must be met by an employee to successfully perform the essential functions of this job, and may include, but are not limited to the following:

  • Occasional visits to other job sites (local travel only).
  • Occasional visits to the trade shops in the building.
  • Full use of PPE when walking through active trade shops (safety glasses, safety shoes, gloves, ear protection).
Preferred Skills & Experience
  • Previous experience in construction or other skilled trades.
  • 1-2 years of experience in administrative support, preferably in a construction or engineering environment.
  • High proficiency in at least one of the following: Excel Formulas (use nesting, spilled ranges and tables for structured formulas), Power Query M (using functions for transformations, merge operations and aggregation), or SharePoint sites (interpreting JSON responses).
  • Proficient with high-level programming language such as Java or C#
