To thrive as a Recruiting Coordinator, you generally need strong organizational skills, attention to detail, and a background in human resources or a related field. Familiarity with applicant tracking systems (ATS), scheduling tools, and HR software is commonly required. Excellent communication, multitasking, and interpersonal skills help you build relationships with candidates and support hiring teams effectively. These abilities ensure efficient coordination of the recruitment process, a positive candidate experience, and successful talent acquisition outcomes.

What is the difference between Recruiting Coordinator vs Recruiter?

AspectRecruiting CoordinatorRecruiter

Required SkillsOrganizational skills, communication, familiarity with ATSSales skills, sourcing techniques, interviewing skills
Work EnvironmentAdministrative support within HR or recruiting teamsActive engagement in candidate sourcing and hiring process
Common UsageUsed in HR departments for support rolesUsed in recruiting firms and HR teams for direct hiring roles

While both roles support the hiring process, Recruiting Coordinators primarily handle scheduling and administrative tasks, whereas Recruiters actively source and evaluate candidates. Understanding these differences helps organizations assign the right responsibilities and candidates find suitable roles efficiently.

What Does a Recruiting Coordinator Do?

Recruiting coordinators work mainly in HR or employee recruiting positions at various companies. However, some sports franchises and college athletics departments employ recruiting coordinators who monitor individual team recruiting practices, schedules, and compliance. As a recruiting coordinator at a staffing agency or HR department, your responsibilities are to coordinate recruiters, inform them about new employee positions, schedule interview times for potential candidates, and review resumes. Your duties include a mix of administrative tasks, such as scheduling and organizing meetings, as well as hiring responsibilities.

What are some common challenges Recruiting Coordinators face when managing multiple job openings simultaneously?

Recruiting Coordinators often manage several open positions at once, which can present challenges in keeping timelines on track and ensuring a positive candidate experience. Balancing the scheduling of interviews, communicating with candidates and hiring managers, and updating applicant tracking systems requires strong organizational skills and attention to detail. Effective prioritization and proactive communication are critical to meet deadlines and avoid bottlenecks in the hiring process. Additionally, adapting quickly to shifting priorities and last-minute changes is a common aspect of the role.

What are recruiting coordinators?

Recruiting coordinators are human resources professionals who manage and support the hiring process within an organization. They are responsible for scheduling interviews, communicating with job candidates, coordinating with hiring managers, and ensuring a smooth recruitment process from start to finish. Recruiting coordinators often handle job postings, candidate tracking, and assist with onboarding new hires. Their organizational and communication skills are crucial in helping companies attract and hire top talent efficiently.

Job description

CTC is seeking a Recruiting Coordinator to join our Talent Acquisition team as a core member driving recruiting execution across campus and lateral hiring. This role is embedded in the day-to-day of our recruiting operation - partnering directly with recruiters, hiring managers, and candidates to move searches forward with precision and professionalism. The ideal candidate is team-oriented, thrives in a fast-paced environment, takes ownership of their work, and understands that a strong recruiting process is a direct reflection of the firm.

What You'll Do

  • Own interview scheduling and logistics end-to-end for campus and experienced hire candidates across multiple business lines

  • Act as a key point of contact for candidates throughout the process, ensuring a consistent and professional experience that reflects CTC's brand

  • Partner with recruiters on pipeline management, requisition tracking, and reporting to keep searches moving efficiently and firm leadership apprised of search progress

  • Drive campus recruiting logistics including info sessions, career fairs, and on-campus events - serving as an extension of the recruiting team in those environments

  • Maintain relationships with university contacts, student organizations, and career centers

  • Ensure ATS data integrity and generate recruiting metrics that inform team decisions

  • Support offer preparation, background checks, and onboarding handoffs

  • Identify process gaps and contribute to improvements as the TA function evolves

What We're Looking For

  • Bachelor's degree

  • 1+ years of recruiting coordination or HR operations experience; financial services exposure a plus

  • Highly organized with strong attention to detail and ability to manage competing priorities

  • Proficiency with ATS platforms and Microsoft Office Suite

  • Experience in marketing, social media, or content creation in a professional role, internship, or personal project. You should have a genuine passion for using these skills to strengthen the employer brand within campus recruiting and firmwide rebranding efforts.

  • Professional and proactive - someone who anticipates needs rather than waits to be directed

Nice to Haves

  • Campus recruiting coordination experience

  • Experience with Greenhouse Recruiting (ATS)

  • Experience with scheduling software tools (e.g. ModernLoop, Goodtime, Guide, etc.)Â
