About the Team:
The AOT Recruiting team builds the pipeline of future Independent Operators. We manage high-volume lead generation, rigorous candidate evaluation, and long-cycle pipeline tracking to ensure candidates are ready for the realities of business ownership. Our team blends strategy, data discipline, and strong relationship management to meet annual placement goals.
About the Role:
The Recruiting Operations Coordinator is a key partner to the AOT Recruiting team, focused on recruiting operations, reporting, and candidate logistics. This role is highly administrative but requires strong analytical thinking, attention to detail, and the ability to manage complex workflows across a large national recruiting team. You will support pipeline health, reporting accuracy, assessment processing, and scheduling execution while helping ensure candidates experience a professional, organized, and timely recruiting journey. This role is ideal for someone who enjoys building structure, managing data, and keeping multiple moving parts aligned behind the scenes. This role reports to the Manager - AOT Recruiting Operations.
Responsibilities Include:
Recruiting Operations & Reporting
  • Pull and analyze lead generation reports across job boards, referrals, and marketing channels
  • Track and report on key funnel metrics including lead volume, qualified lead percentage, engagement ratios, and pipeline stage movement
  • Maintain and update Salesforce dashboards to ensure real-time pipeline visibility
  • Audit CRM data for accuracy and completeness
  • Support forecasting and pipeline reporting for recruiting leadership
  • Identify trends or gaps in lead flow and flag insights to leadership

Job Board & Lead Execution
  • Execute job postings across multiple platforms and ensure consistency in branding and messaging
  • Monitor posting performance and partner on adjustments to improve quality and volume
  • Support top-of-funnel initiatives including DQ questions and campaign updates
  • Assist with tracking source effectiveness and cost-per-lead metrics

Candidate Scheduling & Calendar Management
  • Manage complex scheduling across a national recruiting team
  • Coordinate interviews, panels, and support travel/meetings
  • Ensure seamless candidate communication and calendar alignment
  • Maintain high responsiveness and a strong candidate experience

Assessment & Evaluation Support
  • Support Candidate Assessments
  • Pull, grade, and input assessment results into Salesforce
  • Maintain assessment tracking dashboards
  • Ensure evaluation data is complete and accessible for recruiter and leadership review

Process Management & Continuous Improvement
  • Build and maintain SOPs for scheduling, reporting, and dashboard updates
  • Improve workflow efficiency and reduce manual errors
  • Help streamline communication between recruiters, leadership, and cross-functional partners
  • Support ATS/CRM process enhancements and system transitions

Recruiting Marketing & Brand Support
  • Assist with social recruiting initiatives and light marketing coordination
  • Support job board branding efforts and referral campaigns
  • Track engagement data tied to social recruiting initiatives

About The Pay:
  • Base Pay Range: $27 - 31 Hourly

About You:
  • 2-4 years of experience in recruiting coordination, recruiting operations, HR operations, or similar administrative role
  • Strong proficiency in CRM/ATS systems; Salesforce experience preferred
  • Advanced Excel skills with ability to analyze, summarize, and present data clearly
  • Exceptional organization and time management skills
  • Strong written and verbal communication
  • High attention to detail with a proactive, ownership mindset
  • Ability to manage multiple priorities in a fast-paced, metrics-driven environment
