Job description

Position Overview

We are seeking a Recruiting Operations Specialist to own and continuously improve the systems, data, and operational processes that power Saronic’s recruiting organization. This role is responsible for ensuring our recruiting infrastructure scales alongside the business by optimizing recruiting technology, reporting, workflows, and operational excellence.

The ideal candidate is a self-starter who thrives in a fast-paced environment and enjoys taking ownership. They are comfortable working autonomously, proactively solving operational challenges, and driving initiatives from concept through execution while continuously improving the systems, data, and processes that enable exceptional hiring.

Key Responsibilities
  • Manage the day-to-day administration and configuration of Saronic’s Applicant Tracking System (Ashby), ensuring system integrity, data accuracy, and alignment with recruiting operations.

  • Evaluate and implement new ATS functionality and recruiting technologies to improve recruiter efficiency, user experience, and operational effectiveness.

  • Develop and maintain dashboards, reporting, and analytics that provide business leaders with visibility into hiring performance, pipeline health, and operational trends.

  • Monitor requisition health, pipeline activity, and ATS data quality, proactively identifying aging requisitions, stalled pipelines, and operational inconsistencies while partnering with recruiters to drive timely resolution.

  • Support workforce planning by maintaining accurate recruiting data, auditing hiring demand against approved headcount, identifying discrepancies, and partnering with Recruiting leadership and Finance to ensure alignment.

  • Develop and maintain recruiting documentation, operational resources, and standard operating procedures to promote consistency, scalability, and adoption across the recruiting organization.

Qualifications
  • 1 - 2 years of experience in Recruiting Operations, Talent Operations, Recruiting Coordination, HR Operations, or a related operational role.

  • Experience administering an Applicant Tracking System (Ashby highly desired), including system configuration, reporting, workflow management, and data maintenance.

  • Skilled in building recruiting reports, dashboards, and operational analytics that support hiring strategy and business decision‑making.

  • Proficiency in Excel or Google Sheets, with the ability to analyze and interpret operational data.

  • Excellent organizational, written, and verbal communication skills with exceptional attention to detail.

  • Self-starter with a demonstrated ability to take ownership, independently execute projects, solve operational challenges, and manage multiple priorities in a fast-paced environment.

Preferred Qualifications
  • Experience working in a high-growth technology or startup environment

  • Proficiency with Ashby ATS or another modern Applicant Tracking System.

  • Familiarity with recruiting technology implementations, system integrations, or automation initiatives.

  • Knowledge of workforce planning, headcount management, or recruiting capacity planning.

  • Demonstrated success serving as a subject matter expert for recruiting systems, training end users, and driving platform adoption.
