Job description

Job title: Recruiting and Operations Assistant
Location: West Palm Beach
Pay Rate: $20.00 to $23.00/hr
Requirements: Must be Bilingual English/Spanish

PURPOSE
The Staffing & Operations assistant is responsible for supporting recruiting, onboarding, administrative operations, supporting the sales team to ensure the branch operates efficiently and successfully meets hiring goals. This role involves sourcing and screening candidates, managing employee records and onboarding processes, supporting daily office operations, maintaining strong client and candidate relationships, and assisting with operational and marketing initiatives. The ideal candidate is highly organized, customer-service oriented, and capable of managing multiple priorities in a fast-paced environment.

KEY RESPONSIBILITIES
Recruiting & Staffing
  1. Implement recruiting strategies to meet hiring goals and fill open positions with qualified candidates.
  2. Source and recruit candidates through databases, job boards, social media, referrals, and other recruiting methods.
  3. Conduct candidate screenings and interviews using reliable recruiting and selection techniques.
  4. Review resumes, assess applicant qualifications, and match candidates to appropriate opportunities.
  5. Coordinate interviews, candidate communications, onboarding, orientation, and placement activities.
  6. Inform applicants about job duties, schedules, benefits, working conditions, and advancement opportunities.
  7. Build and maintain strong candidate relationships to create a consistent talent pipeline.
  8. Promote to attract, hire, and retain quality candidates and clients.
Employee Onboarding & Compliance
  1. Perform and document employee screening and vetting procedures in the ATS system, including:
    1. Background screenings
    2. Drug testing
    3. Integrity testing
    4. I-9 verification
    5. E-Verify
    6. Additional client-required screenings
  2. Maintain accurate employee records within ATS and Payclock systems.
  3. Process employee starts, terminations, and related documentation.
  4. Contact new employees to ensure satisfaction and address concerns.
  5. Follow up on ended employees and assist with reassignment opportunities where possible.
Administrative & Office Support
  1. Greet and assist office visitors, applicants, and clients in a professional manner.
  2. Answer, screen, and direct incoming phone calls and emails.
  3. Assist applicants with online and in-person applications and required documentation.
  4. Maintain organized employee and client files.
  5. Perform administrative duties including filing, copying, scanning, scheduling, and data entry.
  6. Ensure reception and office areas remain professional and organized.
  7. Maintain office supply inventory and assist with office operations as needed.
  8. Assist recruiters and managers with scheduling interviews and coordinating communications.
Operations & Client Support
  1. Support operational processes to improve efficiency and customer service.
  2. Assist with management and upkeep of third-party platforms including Indeed, ZipRecruiter, texting platforms, and Payclock.
  3. Assist with marketing initiatives including job fairs, social media, mass texting, and email campaigns.
  4. Complete and distribute operational and recruiting reports as directed.
  5. Work collaboratively with management and team members to support branch goals and daily operations.
KNOWLEDGE & SKILLS
  1. Knowledge of ATS/HRIS systems, recruiting methods, background screening tools, and employment verification processes.
  2. Strong interpersonal, organizational, problem-solving, and customer service skills.
  3. Excellent verbal and written communication abilities.
  4. Ability to multitask, prioritize responsibilities, and work effectively in a fast-paced environment.
  5. Self-motivated with the ability to work independently and collaboratively.
  6. Professional demeanor with strong attention to detail.
  7. Regular, reliable attendance is required.
  8. Physical ability to sit, stand, and walk throughout the workday.
EDUCATION & EXPERIENCE
  1. Associate or Bachelor’s degree preferred, or equivalent combination of education and experience.
  2. Experience in staffing, recruiting, human resources, office administration, customer service, or operations support preferred.
  3. Experience working in a fast-paced office or staffing environment is highly desirable.
