Pay Range Information
Chapman University is required to provide a reasonable estimate of the compensation range for this position. This range takes into account a variety of factors that are considered in making compensation decisions, including experience, skills, knowledge, abilities, education, licensure and certifications, and other business and organizational needs. Salary offers are determined based on the final candidate's qualifications and experience, as well as internal equity and other internal factors. The anticipated pay range is not a promise of a particular wage.

Job Description Summary
The Recruiting Administrator supports the recruiting and hiring process from job posting through onboarding. This role is responsible for coordinating interviews, maintaining applicant tracking systems, communicating with candidates, and ensuring a smooth and professional recruitment experience for both candidates and hiring managers.
Responsibilities
  • Coordinate and schedule interviews between candidates, recruiters, and hiring managers
  • Manage candidate communications including, interview logistics, application status, confirmations, follow-ups and status updates
  • Maintain accurate candidate records in the applicant tracking system (ATS)
  • Manage job postings across internal career site and external job boards
  • Conduct reference checks and background screening coordination
  • Prepare offer letters, employment documentation, and onboarding materials
  • Conduct I-9 verification
  • Support with sourcing activities and recruiting events, career fairs and hiring initiatives
  • Track recruiting metrics and generate hiring reports as needed
  • Ensure a positive candidate experience throughout the hiring process
  • Maintain confidentiality of candidate and company information
  • Ensure compliance with company hiring policies and employment regulations
  • Provide general administrative support to the HR and recruiting teams

Required Qualifications
  • Associate's degree or equivalent combination of education and experience.
  • Minimum of 2 years of administrative, recruiting coordination, human resources, customer service, or related experience.
  • Experience coordinating schedules, meetings, or interviews in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and commitment to accuracy.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Demonstrated customer service skills and the ability to interact professionally with candidates, employees, and hiring managers.

  • Highly organized with exceptional time management skills, able to manage multiple priorities, deadlines and stakeholders in a fast-paced environment.
  • Self-starter, highly motivated and achievement oriented.
  • Experience working with databases, applicant tracking systems (ATS), HR systems, or other data management platforms.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
