What is a recruiting administrator?

Recruiting Administrators are professionals who support the recruitment process within an organization. They are responsible for administrative tasks such as scheduling interviews, managing candidate databases, posting job openings, and communicating with candidates and hiring managers. Their work ensures that the recruitment process runs smoothly and efficiently, providing vital support to recruiters and HR teams. Recruiting Administrators may also assist with onboarding new hires and maintaining compliance with hiring policies.

What are the key skills and qualifications needed to thrive as a recruiting administrator?

To thrive as a Recruiting Administrator, you need strong organizational skills, attention to detail, and knowledge of recruitment processes, typically supported by a degree in human resources or a related field. Familiarity with applicant tracking systems (ATS), HRIS software, and scheduling tools is commonly required. Excellent communication, multitasking, and problem-solving abilities help you manage candidate interactions and support hiring teams effectively. These skills ensure smooth recruitment operations, timely candidate processing, and a positive hiring experience for both candidates and staff.

What are some common challenges recruiting administrators face when managing multiple job openings simultaneously?

Recruiting Administrators often juggle several job openings at once, which requires strong organizational skills and the ability to prioritize tasks effectively. One common challenge is maintaining clear communication with both candidates and hiring managers to prevent delays or misunderstandings during the recruitment process. Additionally, tracking application statuses and ensuring compliance with hiring policies can be demanding, especially during high-volume recruitment periods. Proficiency with applicant tracking systems and collaborative tools helps streamline these tasks and enhance overall efficiency.

At Angels of Care Pediatric Home Health, our clinicians are at the heart of the care we provide to medically complex children and young adults. The Recruiting Administrator plays an important role in supporting the hiring process by helping candidates move quickly and smoothly from initial interest through onboarding and orientation.
This is a fast-paced support role that combines candidate communication, scheduling, data entry, process coordination, and recruiting support. Team members in this role partner closely with Clinical Recruiters and branch operations teams to help ensure nurses and clinicians have a positive, timely, and organized experience as they prepare to support the families we serve.
The ideal candidate is organized, responsive, detail-oriented, comfortable communicating with candidates throughout the day, and able to manage multiple priorities in a high-volume environment.
In this role, you will:
  • Support the recruiting process by assisting with candidate communication, follow-up, scheduling, and onboarding coordination.
  • Schedule interviews, orientations, and other hiring-related appointments for prospective clinicians.
  • Communicate professionally and consistently with candidates by phone, text, and email to help keep them engaged throughout the hiring process.
  • Partner closely with Clinical Recruiters to support candidate progression from initial contact through onboarding and first shift readiness.
  • Assist with candidate sourcing and outreach through job boards, applicant flow, social media, referrals, and other recruiting tools.
  • Maintain accurate candidate information, documentation, and follow-up notes within applicant tracking, recruiting, and scheduling systems.
  • Help monitor candidate status and identify follow-up needs to reduce delays or candidate drop-off.
  • Coordinate with branch teams and recruiting partners regarding interview needs, orientation schedules, onboarding updates, and staffing priorities.
  • Support a smooth and positive candidate experience that reflects Angels of Care's HALOS values and commitment to exceptional care.
  • Manage multiple administrative and communication tasks in a fast-paced, high-volume environment while maintaining accuracy, urgency, and professionalism.

Qualifications:
  • High school diploma or GED required
  • Experience in an office, administrative, customer service, scheduling, healthcare, recruiting support, or other fast-paced support role
  • Strong communication skills and professional phone etiquette, with the ability to communicate with a high volume of candidates throughout the day
  • Comfortable using computer systems, including Outlook, Microsoft Office, applicant tracking systems, scheduling systems, or similar platforms
  • Ability to manage multiple priorities, respond quickly, and stay organized with high attention to detail in a fast-paced environment
  • Bachelor's degree (or equivalent experience) in Business, Healthcare Administration, Communications, Management, Marketing, or related field preferred
