Assistant Proposal Coordinator

HazeGrayCyber, LLC is focused on delivering Cyber Security and Zero Trust Solutions to the US National Defense community and our allies and partners.
We are seeking a detail oriented and motivated Assistant Proposal Coordinator to join our team. The successful candidate will support the Proposal Manager in coordinating and preparing high-quality proposals. This role requires excellent organizational skills, attention to detail, and the ability to work collaboratively in a fast-paced environment.
Location:Hagåtña, Guam
Responsibilities
• Assist in the development and preparation of proposals, ensuring compliance with RFP requirements.
• Coordinate with various departments to gather necessary information and documentation.
• Maintain proposal schedules and track deadlines to ensure timely submission.
• Format and proofread proposal documents for accuracy and consistency.
• Organize and maintain proposal files and records.
• Support the Proposal Manager in conducting research and analysis related to proposal content.
• Assist in the creation of proposal templates and standard content.
• Participate in proposal review meetings and provide administrative support as needed.
• Ensure all proposal materials are properly archived and accessible for future reference.
• Assist with administrative tasks managing the Business Development pipeline.
• Support all companies within the Savannah Holdings portfolio, as required.
Required Education and Experience
• Bachelor's degree in Business, Communications, or a related field, or equivalent years of related work experience may be substituted.
• 1-3 years of previous experience in proposal coordination or a similar administrative role is preferred.
• Strong organizational and time management skills.
• Excellent written and verbal communication skills.
• 1-3 years of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
• Ability to work independently and as part of a team.
• Attention to detail and a commitment to producing high-quality work.
• Ability to handle multiple tasks and meet tight deadlines.
Security
• US Citizenship Required
• Ability to obtain a Government Secret Security Clearance
Additional Qualifications
• Experience with Shipley or other formal Business Development methodology is highly desirable.
• Strong organizational and time management skills.
• Excellent written and verbal communication skills
• Ability to work independently and as part of a team.
• Attention to detail and a commitment to producing high-quality work.
• Ability to handle multiple tasks and meet tight deadlines.
