Job description

Position Summary:
We are a growing consulting firm in need of a dynamic and reliable Proposal Specialist to support our Tidal Basin proposal services team. As a Proposal Specialist, you will work collaboratively with all members of the proposal team, business units, subject matter experts and executives to assist with developing winning proposals, qualifications, and interview presentations.
You may also assist with competitive research, capture, and managing and developing proposals, including strategy, writing/editing, graphic design / visual layout, compliance, QA/QC, schedules, print production, debriefs and other related tasks. You will be an integral part of helping to form and transform best practices, processes, and developing / maintaining best content libraries and resources.
The qualified individual requires strong verbal and written communication skills and should be self-motivated, responsible and confident with a commitment to integrity. Must possess high attention to detail, be very organized and have the ability to prioritize multiple projects, meet deadlines, and work collaboratively with minimal supervision.
Job Duties and Responsibilities include:
This role works independently as a member of the proposal team and will report to the Senior Proposal Director. The candidate will perform the following essential functions:
โ€ข Analyze solicitation requirements and develop compliance matrices
โ€ข Create annotated proposal outlines with writing assignments
โ€ข Develop proposal execution/management plans
โ€ข Assist and/or lead proposal kick-off, status and production meetings, defining expectations and assigning roles and responsibilities for pursuit
โ€ข Assist and/or lead creation of proposal development/production schedule
โ€ข Ensure proposal tasks and deliverables are completed within allotted schedule, including assisting with drafting/editing content, scheduling color, quality and compliance reviews, print production and delivery
โ€ข Contribute to writing/editing/rewriting efforts to include researching subject matter resources and interviewing subject matter experts for required proposal content development
โ€ข Write and edit resumes and project descriptions specific to RFPs
โ€ข Prepare standard Non-Disclosure Agreement (NDA) and Teaming Agreement (TA) documents as needed
โ€ข Complete RFP forms and obtain necessary corporate licensure documents from corporate compliance and contracts teams
โ€ข Assist with developing, distributing, and tracking data calls from teaming partners
โ€ข Assist with developing responses to data calls when our team is a subconsultant to another prime proposal
โ€ข Assist with developing, implementing, and maintaining a centralized best content proposal library and repository of resumes, project profiles and descriptions, case studies, etc.
โ€ข Support the capture and proposal pipeline process by entering / updating data points related to pursuit, client account, contacts, etc. in CRM as needed
โ€ข Complete all required compliance training on an annual basis
โ€ข Perform other duties as assigned
Skills and Competencies:
โ€ข Experience with reviewing and understanding solicitation (RFP, RFQ, RFI) requirements to develop proposal schedules and assignments, and conduct compliance reviews is preferred
โ€ข Knowledge of federal, state and local government procurement processes and proposal forms is preferred
โ€ข Understanding of CRM and data management databases
โ€ข Experience with Microsoft Word, Excel, and PowerPoint required
โ€ข Experience with Adobe InDesign is desirable
โ€ข Detail oriented with exceptional writing, editing, and document formatting and organization skills
โ€ข Strong interpersonal and communication skills with the ability to effectively communicate across diverse audiences and influence cross functionality
โ€ข Ability to multi-task in a dynamic, fast paced matrix team environment
โ€ข Self-starter with a positive attitude and the ability to work effectively both independently and as part of a team
Required Education and Experience:
โ€ข At least associates degree or at least 2-3 years of proposal coordination experience
