Overview of the Role:
The Proposal Development Coordinator helps IP House create professional pitch materials and proposals for new business opportunities. This role is great for someone who enjoys writing, organizing information, and working with different teams.
You'll support the Manager, Global Client Solutions, and help prepare materials that show clients what IP House can do.
Essential Duties and Responsibilities:
Pitch Material Support
  • Update and organize pitch templates and presentation materials.
  • Customize materials for specific clients or meetings.
  • Help the Client Success team prepare documents for prospect calls.

RFP & Proposal Support
  • Review client requests and summarize what is needed.
  • Work with the Manager, Global Client Solutions to gather the right information for proposals.
  • Help organize and outline proposal content.

Writing & Editing
  • Draft and edit sections of proposals.
  • Make complex information easier to understand.
  • Ensure documents follow company branding and style.

Content Organization
  • Help maintain a library of proposal content such as templates, case studies, and team bios.
  • Keep content updated with new information and examples.

Team Collaboration
  • Work with investigators, analysts, legal, and business development teams to gather details for proposals.
  • Help collect and organize contributions from different team members.

Project Coordination
  • Assist in keeping proposal timelines on track.
  • Coordinate with graphic designers on layout and visuals.
  • Track submissions and results for future improvements.

Quality Support
  • Help review proposals to ensure they are accurate and complete.
  • Suggest small improvements to make processes smoother and more efficient.

What You'll Bring:
  • Bachelor's degree (or equivalent) in English, Communications, Business, or related field preferred; equivalent experience will be considered.
  • Professional certifications in proposal writing, business development, or project management (e.g., APMP, PMP) are a plus.
  • Proven experience managing proposals or RFP responses, preferably in investigations, legal services, consulting, or related sectors.
  • Exceptional writing and editing skills, with the ability to create clear, persuasive, and client-focused content.
  • Strong project management skills, with the ability to manage multiple priorities under tight deadlines.
  • Experience using proposal management tools, content libraries, and design software.
  • Ability to work collaboratively with cross-functional teams across multiple geographies.
  • Understanding of intellectual property protection, enforcement strategies, or investigative services is highly desirable.
