Overview

NaphCare has an excellent opportunity for a Proposal Coordinator to join the Proposal Development Team at our Corporate Headquarters in Birmingham, AL.  This position is on-site.

This role supports the company's client acquisition and retention efforts by assisting in the development of high-quality, compliant, and compelling proposals and sales-related documents for both prospective and current clients. The ideal candidate is detail-oriented, organized, proactive, and skilled in both written communication and project coordination.

Responsibilities
  • Assist the Proposal Development Team in the preparation, coordination, and submission of proposals
  • Review Requests for Proposals (RFPs) to identify requirements, deadlines, and deliverables
  • Contribute written content and assist in developing clear, persuasive proposal responses
  • Develop and implement design elements to make proposals modern, professional, and visually appealing
  • Proofread and edit proposal drafts and templates for accuracy, clarity, and consistency
  • Ensure all proposal materials meet RFP compliance standards
  • Maintain and update proposal templates, appendices, and client lists
  • Create proposal components including cover pages, tabs, labels, and appendices
  • Track and schedule proposal deadlines using Outlook
  • Complete required forms and documentation for proposal submissions
  • Coordinate with internal teams to gather items required for proposal submissions
  • Support the production, assembly, and shipping of final proposal documents
  • Maintain proposal supplies (e.g., paper, binders, toner) and assist with office equipment such as printers and copiers
Qualifications
  • Bachelor's degree in English, Communications, Business, or a related field (or equivalent experience)
  • Strong writing, editing, and proofreading skills
  • Exceptional attention to detail and organizational abilities
  • Ability to manage multiple deadlines in a fast-paced environment
  • Proficiency in Microsoft Office Suite (Word, Outlook, Excel, PowerPoint), Canva, and Adobe
  • Strong interpersonal skills and ability to collaborate across departments

Preferred Qualifications:

  • Experience in proposal development, grant writing, or sales support
  • Familiarity with RFP processes and compliance requirements
