Job description

Elite Contracting Group is seeking a Proposal Development Specialist to join our Estimating and Design team. This position will support the team by preparing proposals in response to project specifications.

Duties and Responsibilities:
  • Receive project scope, quantities, equipment requirements, and other estimating information from Estimators or Solution Engineers; translate information into complete customer proposals
  • Coordinate with vendors to obtain pricing, availability, lead times, product information, and substitutions when appropriate
  • Research project requirements, equipment, materials, and related information as needed to support proposal development
  • Enter project materials, quantities, costs, labor information, and other provided estimating data into proposal templates and estimating systems
  • Develop professional, accurate, and customer-ready proposals based on information provided by the Estimating and Design team
  • Coordinate with Estimators and Solution Engineers to clarify scope, pricing, specifications, and other proposal requirements
  • Track and provide scheduled updates on proposal progress
  • Ensure proposals are completed on time and with accuracy
  • Maintain organized information, files and reference material
  • Review completed proposals for accuracy, completeness, formatting, and consistency and identify missing or conflicting information before proposal submission
  • Support multiple proposals simultaneously while effectively managing changing priorities and deadlines
  • Perform other duties as assigned

Qualifications:
  • Ability to research and synthesize information from multiple sources
  • Excellent interpersonal and communication skills
  • Strong attention to detail and accuracy
  • Strong written and verbal communication skills
  • Ability to manage multiple assignments and deadlines simultaneously, with effective time management
  • Proficiency in Microsoft Office Suite including Word, Excel, and Outlook
  • Ability to adapt to changing priorities and business needs
  • Ability to learn new software, estimating systems, and proposal tools
  • Ability to understand and follow written specifications, project requirements, and instructions
  • Ability to identify discrepancies, missing information, and potential errors
  • Self-motivated, dependable, and willing to learn
  • Positive, team-oriented mindset with the ability to adapt to changing priorities and business needs
  • Previous experience in proposal development, estimating support, construction, electrical, low-voltage, physical security, or a related field is preferred
  • Knowledge of physical security systems, electronic security equipment, electrical equipment, or construction materials is a plus

Physical Requirements:
  • Must be able to sit and work at a computer for prolonged periods of time.
  • Must be able to read and interpret plans, drawings, specifications, and other project documentation.
  • Must be able to distinguish colors as necessary to interpret plans and project documentation

Additional Requirements:
  • Must be able to work Monday - Friday 7:00AM - 5:00PM; additional work may be required
  • Must possess and maintain a satisfactory background record

What Success Looks Like:
  • Proposals are completed accurately and on schedule
  • Proposal information is organized and easy for the customer to understand
  • Missing information is identified before the proposal reaches final review
  • Vendor pricing is obtained promptly and documented accurately
  • The Estimator/Solution Engineer can provide the technical direction and rely on the Specialist to efficiently produce the finished proposal
  • The Specialist can manage several proposals without losing track of deadlines or details
Anticipated Hiring Range: $25 - $35 per hour with guaranteed hours, including overtime.
