SUMMARY OF POSITION
We are looking for an RFP / Bid Management Coordinator who can translate our operational excellence into compelling, top-tier proposals. As our RFP/Bid Management Coordinator, you will spearhead the writing, layout, and production of all strategic responses to growth opportunities. Working directly with sales, marketing, and cross-functional stakeholders, you will own the proposal lifecycle from kickoff to final submission. You aren't just filling out templates; you are project managing our growth engine and architecting winning solutions.

Job Duties / Responsibilities / Essential Functions:
Project Management & Strategy
o Own the Timeline: Project manage the entire RFP process from kickoff to final delivery, ensuring every internal stakeholder hits their milestones.
o Pipeline Management: Maintain a meticulous schedule of all due dates, team roles, and tracking metrics within our proposal pipeline.
o Solution Architecture: Collaborate with cross-functional teams to design high-quality, tailored solution designs that align with market trends and business objectives.
Content Creation & Design
o Persuasive Writing: Write compelling, customized content for RFPs, RFIs, RFQs, and executive summaries that clearly articulate our value proposition.
o Visual Layout: Handle the final aesthetic production of submissions, including layout, graphics, org charts, and formatting to ensure a polished look.
Sales Enablement: Develop high-impact PowerPoint presentations and ancillary materials to support the active sales and pitch process.

Knowledge Database Management
o Library Building: Build, organize, and maintain our database/library of best-in-class proposal responses and client references.
o Tools & Inventory: Manage relevant proposal software databases, run pipeline reports, and oversee electronic/physical inventory management.

Required Knowledge /Skills / Abilities / Qualifications:
o Experience: Minimum of 2 years of experience in bid management, corporate communications, project management, or executive administration.
o The Essentials: Exceptional writing, editing, and proofreading skills with an eagle-eye attention to grammar, spelling, and detail.
o Tech-Savvy: High proficiency with MS Word, Excel, and PowerPoint.
o Pace & Grit: Comfort working in a fast-paced environment with daily deadlines, while successfully juggling multiple RFPs at once.
