Job description

Proposal Coordinator

DJ&A is seeking a full-time Proposal Coordinator with 3+ years of relevant experience, preferably in the Architecture, Engineering, and Construction (AEC) industry. Experience with developing/writing funding or grant proposals will also be strongly considered. This position is responsible for coordinating and supporting the development of high-quality, compliant proposals and other marketing collateral.

The ideal candidate is highly organized, an excellent communicator, and a strong writer who thrives in a fast-paced, collaborative environment. This person takes initiative and manages multiple deadlines effectively. The selected candidate will join a thriving team that plays a central role in DJ&A’s continued growth and success.

Primary Duties and Responsibilities

  • Proposal Coordination: Coordinate the development, production, and on-time submission of proposals for consulting contracts, including schedules, content development assignments, and internal review cycles.
  • Content Development: Write, edit, and format proposal content and resumes to ensure consistency, clarity, and alignment with client-focused messages.
  • Quality Control: Support and coordinate quality control reviews.
  • Content Management: Assist in maintaining and improving DJ&A’s proposal content library and CRM database, including project summaries, staff resumes, and firm qualifications.
  • Market Research: Conduct background research on clients, opportunities, and competitors to help guide strategic positioning and pursuit decisions.
  • Proposal Tracking: Monitor industry websites and publications, distribute opportunities for go/no-go review, and track proposal outcomes.

Required Qualifications

  • 3+ years of experience in writing/developing persuasive, effective business proposals or funding proposals, preferably in the A/E/C industry.
  • Excellent writing and editing skills.
  • Strong organizational and time management abilities.
  • High attention to detail and quality.
  • Ability to work independently and collaboratively in a deadline-driven environment.
  • Strong alignment with DJ&A Core Values.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe Acrobat.
  • Home location near one of DJ&A's offices.

Preferred Qualifications

  • B.A. or B.S. in communications, business, marketing, journalism, or liberal arts field, or equivalent work experience.
  • Experience as a business proposal coordinator or similar role for an A/E consulting firm, or funding proposal development.
  • Proficiency with Adobe Creative Cloud programs.

Location

  • Based in or near one of DJ&A’s offices; regular in-office presence required.

Salary and Benefits

  • Full-time weekdays,40 hours per week, 9/80 work schedule, occasional overtime to meet deadlines.
  • Base pay of $24- $32 per hour, depending on experience and location.
  • Excellent benefits including medical, dental, vision, 401(k) and profit sharing, long-term disability, performance bonuses, paid time off, and ten paid holidays.
