Job Summary
York Space Systems seeks a Proposal Coordinator to support the development and submission of compliant, compelling proposals for U.S. Government and commercial space systems and aerospace programs. This role works closely with Proposal Operations, Capture Managers, Volume Leads, and cross-functional teams across technical, pricing, contracts, and executive leadership disciples. The ideal candidate is organized, detail-oriented, and capable of thriving in a fast-paced, deadline-driven environment. They should have strong communication skills and a solid understanding of Government contracting, with the ability to coordinate complex proposal activities and ensure high-quality, compliant submissions.
Key Responsibilities
Proposal Coordination & Planning
  • Support proposal operations activities from RFI/RFP/RFQ/OTA/IDIQ task order release through final submission
  • Coordinate proposal schedules, deliverables, volume outlines, compliance matrices, and cross-functional workflows
  • Assist with RFP instruction and evaluation assessment to help ensure compliance across all volumes

Content Development & Quality Assurance
  • Support volume leads with editing, formatting, and ensuring compliant, compelling, and high-quality proposal content
  • Assist in developing graphics, resumes, past performance write-ups, templates, and other proposal materials
  • Ensure consistency in style, formatting, and structure across all proposal documents

Review Cycles & Compliance Management
  • Coordinate and support color team reviews (Pink, Red, Gold), including logistics, consolidating reviewer comments, and driving resolution actions
  • Work with Proposal Operations to ensure compliance with RFP instructions, evaluation criteria, and FAR/DFARS requirements, including formatting proposal volumes in accordance with RFP instructions (Section L & M compliance)

Document Management & Repository Maintenance
  • Manage document version control, file structure, and configuration management in proposal repositories
  • Maintain proposal library (technical, management, past performance), reusable content repository, and resource templates; support continuous content improvement

Cross-Functional Collaboration
  • Work closely with Proposal Operations, Capture Managers, technical teams, pricing, contracts, and executive leadership
  • Support data collection and maintenance across past performance, teammate, and supplier databases

Production & Final Submission
  • Support production activities including final file assembly and electronic submission
  • Ensure all final deliverables meet RFP submission requirements

Qualifications
Required:
  • Bachelor's degree in Business, Communications, English, Engineering, or related field (or equivalent experience)
  • Experience supporting U.S. Government and commercial proposals
  • Working knowledge of OTAs, FAR/DFARS requirements focused on FFP type contracts and proposal best practices
  • Ability to coordinate and track multiple tasks, deadlines, and stakeholder inputs
  • Strong written and verbal communication skills
  • High proficiency in Microsoft Office Suite (Word, PowerPoint, Excel), with experience using version control and collaboration tools (SharePoint/Teams)
  • Exceptional attention to detail and organizational skills
  • Ability to work collaboratively across technical and business teams in a deadline-driven environment

Preferred:
  • Experience supporting DoD, U.S. Space Force, NASA, or Intelligence Community proposals
  • Active or recent TS/SCI clearance
  • Experience supporting proposal compliance management, schedule tracking, and cross-functional coordination for complex Government proposals
  • Familiarity with FAR/DFARS structure, federal procurement standards, and RFP organization
  • Exposure to Shipley or APMP proposal methodologies
  • Experience using proposal automation and CRM tools (e.g., GovWin, Deltek Costpoint/Open Plan, SharePoint, Adobe Acrobat, Submittable)
  • Exposure to space systems domains such as satellite systems, ground systems, ISR, command and control, or space domain awareness
