We are seeking a highly organized, detail-oriented, and tech-savvy HR Document Control Specialist to lead a comprehensive digital archiving and document restructuring project across our corporate HR drives. The ideal candidate will be responsible for auditing, cleaning up, migrating, and standardizing historical and current company documents (including policies, procedures, and personnel files) into a streamlined, easily navigable centralized library.
Location: On-site at our Tampa HQ located at 615 Channelside Dr, with hybrid flexibility after training period
Pay Range: $24.00 - $25.00 per hour
Job Responsibilities
  • Drive Audit & Governance: Establish, maintain, and continuously audit the structure of corporate Google Drives, reviewing and organizing existing documents to ensure optimal folder hierarchies and data integrity.
  • Standardized Labeling: Apply, refine, and enforce consistent, uniform naming conventions and folder structures across all company policies and procedures to maximize team searchability and compliance.
  • Data Mapping & Indexing: Maintain, scale, and update a comprehensive corporate Data Map (Table of Contents) indexing the drive architectures so internal team members can seamlessly locate critical files.
  • Legacy Archiving: Systematically identify, categorize, isolate, and archive historical records belonging to legacy business entities, including Boasso, Qualawash, and PSC.
  • DCI Document Library Management: Oversee, expand, and structure the unified DCI Document Library on designated corporate drives, serving as the single source of truth for post-merger corporate documentation.
  • HR Systems Administration: Manage ongoing document workflows, digital signature tracking, and employee record administration within the ADP HRIS environment.
  • Confidentiality & Information Security: Handle high volumes of digital data securely, maintaining absolute discretion and strict confidentiality regarding sensitive human resources, legal, and operational documents.
  • Continuous Optimization: Proactively identify data automation opportunities, file compression solutions, and bulk processing efficiencies to keep digital drives optimized.

Qualifications
  • Google Workspace Literacy: Advanced proficiency in Google Workspace (Drive, Docs, Sheets, Forms) with a deep operational understanding of shared drive permissions, inherited sharing settings, and complex folder structuring.
  • ADP System Literacy: Hands-on experience navigating and managing document compliance workflows or records within ADP or similar major HRIS environments.
  • Computer & Digital Literacy: Strong proficiency in digital file administration, including bulk renaming, file size optimization, and managing massive volumes of corporate records securely.
  • Attention to Detail: A rigorous level of precision in labeling, historical sorting, and verifying precise details within legacy organizational documents.
  • Ethics & Confidentiality: Proven track record handling sensitive employee data, legal entity documentation, and restricted HR files with maximum data privacy compliance.
  • Education: Associate's or Bachelor's degree in Business Administration, Human Resources, Information Management, or a related discipline is preferred.
  • Experience: 2+ years of experience in content management, document control, or HR operations is preferred, ideally within an organization that has undergone mergers and acquisitions.

  • Standardized folder hierarchies, naming conventions, and permissions maintained across all active Corporate drives.
  • Isolated and cleanly archived legacy folder paths for Boasso, Qualawash, and PSC.
  • An optimized, scalable DCI Document Library serving as a centralized file repository.
  • A fully functional and updated Table of Contents (Data Map) detailing the drive architecture for internal visibility.
  • Optimized ADP document workflows with complete compliance and data confidentiality verified.
