Job Description

The Training Assistant supports the day-to-day operations of the Training Department by moderating training sessions and meetings, managing the shared department inbox, andย assistingย with training-related requests such as the creation of flyers, documents, catalogs, and PowerPoint presentations.ย 

ย This roleย assistsย with coordinating onboarding activities, training events, and new hire orientation sessions, ensuring a smooth and organized experience for all participants. The Training Assistantย is responsible forย organizing, uploading, andย maintainingย training records and materials across ADP, SharePoint, and the Academy page on The Link, and supports the development and creation of training courses and learning materials inย LearnUpon.ย 

ย Additionally, this roleย assistsย with quarterly and annual training audits by reviewing records, tracking completion, and helping ensure compliance with organizational and regulatory requirements. Basic technical support during training events and troubleshooting of virtual learning platforms is also within the scope of this position.ย 

Through strong administrative support and attention to detail, the Training Assistant plays a key role in ensuring the departmentย operatesย efficiently and that staff across the agency have access to the learning resources they need to thrive.ย 

Responsibilities:

  • Provide support for theย Academy training cycle, including coordinating and scheduling internal and externalย trainings, workshops, and continuing education opportunities for staff at all levels.ย 
  • Assistย with designing, developing, andย implementingย engagingย virtual training programs using instructional design principles to ensure content is interactive, accessible, and aligned with organizational goals.ย 
  • Prepare and distribute training announcements, reminders, and instructions in a clear andย timelyย manner.ย 
  • Support trainers and facilitators byย assistingย with training materials, presentations, and attendance documentation.ย 
  • Create and design training presentations and marketing materials, including flyers, for Academy programs.ย 
  • Moderate NYPCC Academyย trainings, meetings, and support groups.ย 
  • Track and record training and meeting attendance for payrollย processing andย update employee training records in the HRIS.ย 
  • Createย trainingsย and manage registration within the Learning Management System (LMS), whileย maintainingย accurateย records in LMS, SharePoint, and ADP.ย 
  • Assistย in the administration of the LMS by testing course functionality,ย identifyingย technical issues, and troubleshooting problems to ensure a smooth learning experience for staff and participants.ย 
  • Monitor, track, and report on mandatory compliance training, following up with management to ensureย timelyย completion.ย 
  • Collect, track, and analyze training attendance, outcomes, and feedback data to generate actionable insights,ย identifyย trends, and support continuous program improvement.ย 
  • Support new employee onboarding by delivering engaging, thorough, and informative training experiences including the coordination of onboarding, New Hire Orientation and Work Ethics when needed.ย 
  • Provide administrative support to theย Trainingย Specialist team as needed.ย 
  • Collect and analyze feedback to assess training effectiveness and recommend improvements.ย 
  • Promote a positive, growth-oriented workplace culture by encouraging continuous learning, recognizing staff achievements, and supporting employee recognition initiatives.ย 
  • Provide weekly updates on project and task status.ย 
  • Generate reports for leadership, HR, and auditors asย required.ย 
  • Ensure compliance with state and federal labor laws, rules, and regulations.ย 
  • Collaborate with the Training Department to provide administrative support andย assistย with ad-hoc HR projects.ย 
  • Perform otherย duties asย assigned by Supervisor.ย 
Qualifications

Education & Experienceย 

  • Bachelor's Degree in Psychology, Industrial-Organizational Psychology, Human Resources, or a related fieldย 
  • 1-2 years of experience in professional development or human resourcesย 
  • Experience working with a Learning Management System (LMS)ย 

Technical Skillsย 

  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint)ย 
  • Skilled in Canva,ย DocuSign, SCORM and other digital platformsย 
  • Creative with flyer design, branding, and social media contentย 

Communication & Interpersonal Skillsย 

  • Excellent verbal and written communication skills,ย timelyย and effectiveย
