Recruiting Assistant

Job summary: Support the Talent Team in sourcing, screening, and coordinating candidates to ensure an efficient, positive hiring experience. Handle administrative tasks, communication, and data entry to enable recruiters to focus on strategic hiring.


Key responsibilities:

  • Coordinate interview scheduling between candidates and Talent Acquisitions Manager; manage calendars and logistics (virtual/in-person).
  • Post job openings to ATS and job boards; maintain job board schedules and requisition records.
  • Screen resumes for basic qualifications and pre-screen candidates via phone/email/ Teams.
  • Manage candidate communications: confirmations, status updates, feedback collection, and offer logistics.
  • Maintain and update applicant tracking system (ATS) records and recruiting dashboards; ensure data accuracy.
  • Prepare candidate packets, interview guides, and background-check/onboarding paperwork.
  • Assist with sourcing support: basic social media searches.
  • Coordinate recruiting events, campus visits, and career fairs; support employer-branding activities.
  • Generate regular reports on pipeline, time-to-fill, and other recruiting metrics.
  • Support recruiting projects as assigned.

Required qualifications:

  • 1-2 years administrative and recruiting-related experience.
  • Proficiency with MS Office (Excel, Outlook) and experience with an ATS.
  • Strong written and verbal communication skills.
  • Excellent organizational skills, attention to detail, and ability to manage multiple priorities.
  • Professionalism and customer-service orientation.

Preferred qualifications:

  • Experience with sourcing tools (ex. LinkedIn Recruiter, Indeed,)
  • Basic understanding of employment law and background-check processes.
