Entry Level Recruiting Coordinator


Outsource is the largest staffing firm in the nation specializing in the placement of low voltage and electrical talent. We are seeking a Project Coordinator to serve as the operational backbone for a select portfolio of high-volume, mission-critical client accounts in the hyperscale and data center sector.


This individual owns the candidate submittal lifecycle on all account-specific processes, compliance requirements, and client expectations. Working cross-functionally with recruiters nationwide, this role enforces quality assurance and consistency standards.


Project Coordinator Responsibilities

  • Manage end-to-end candidate submittals for designated hyperscale/data center accounts, ensuring packages are complete, accurate, and fully compliant with client-specific requirements.
  • Review all submission components: professional resume, detailed work history, client application forms, and verifiable references.
  • Guide candidates through the application process, serving as the primary point of contact for status updates, paperwork collection, background checks, and drug screenings.
  • Schedule and confirm candidate interviews across multiple time zones; distribute logistics, preparation materials, and site-specific instructions.
  • Confirm and communicate official start dates; coordinate all onboarding prerequisites to ensure candidates are day-one ready.
  • Manage the badging and site access process for all placed candidates, liaising with client security teams and facility managers.
  • Coordinate and schedule new-hire orientations in alignment with client facility schedules and onboarding calendars.
  • Coordinate travel arrangements for candidates assigned to remote or multi-site projects, including flights, lodging, and ground transportation.
  • Serve as the national SME for all assigned accounts; develop, document, and communicate standardized processes and checklists for consistent submittal quality.
  • Other duties may be assigned as needed.
