Job description

Key Responsibilities: 

  • Professionally answer, screen, and direct incoming calls. 
  • Greet and assist clients, candidates, vendors, and employees with warmth and professionalism. 
  • Maintain digital and physical filing systems with accuracy and confidentiality. 
  • Manage and organize shared inboxes and assist with email correspondence. 
  • Order and track office supplies for multiple locations while adhering to budget guidelines. 
  • Maintain kitchen organization, inventory, and cleanliness standards. 
  • Coordinate and distribute deliveries, ensuring packages are routed appropriately. 
  • Handle faxing, scanning, copying, and document preparation. 
  • Assist with data entry, reporting, and document management. 
  • Support onboarding logistics and candidate check-ins as needed. 
  • Coordinate employee birthday club orders and internal office celebrations. 
  • Contact vendors for events, maintenance, and operational needs. 
  • Run occasional business-related errands. 
  • Support leadership with scheduling, calendar coordination, meeting preparation, and special projects. 
  • Maintain strict confidentiality when handling sensitive company and employee information. 
  • Provide general administrative support to multiple departments as assigned. 

 Qualifications: 

  • Minimum 1–2 years of recruiting or candidate sourcing experience required 
  • Experience sourcing candidates rather than relying solely on incoming applications 
  • Experience conducting phone screens and evaluating candidate qualifications 
  • Comfortable managing multiple openings and a high-volume candidate pipeline 
  • Strong phone, written, and interpersonal communication skills 
  • Strong organization and follow-up skills 
  • Ability to work independently while following established recruiting processes 
  • Comfortable working toward daily and weekly recruiting goals 
  • Experience using job boards, LinkedIn, ATS platforms, and other sourcing tools
