What does a recruiting assistant do?

A recruiting assistant is involved in a company’s recruiting process. They are often employed in human resources departments (HR) and specialize in the recruitment of candidates for employment with the company. Job duties include contacting potential candidates, scheduling interviews, following up during the recruitment process, and updating employee records. They may also perform background checks and verify a candidate’s qualifications and experience. Qualifications for a career as a recruiting assistant usually include an undergraduate degree.

What does a recruiting assistant do?

A Recruiting Assistant supports the recruitment process by handling administrative tasks such as scheduling interviews, communicating with candidates, maintaining applicant tracking systems, and assisting recruiters with job postings and candidate sourcing. They help ensure that the hiring process runs smoothly and efficiently for both the HR team and applicants. Recruiting Assistants also may help with onboarding new hires, conducting initial screenings, and organizing recruitment events.

What are the key skills and qualifications needed to thrive as a recruiting assistant, and why are they important?

To thrive as a Recruiting Assistant, you need strong organizational skills, attention to detail, and a background in human resources or business administration, often supported by a relevant associate’s or bachelor’s degree. Proficiency with applicant tracking systems (ATS), HR software, and tools like Microsoft Office is typically required. Excellent communication, time management, and interpersonal skills help you build relationships with candidates and support recruiters effectively. These capabilities ensure efficient hiring processes, positive candidate experiences, and overall team success in a fast-paced recruiting environment.

What are some common challenges faced by recruiting assistants, and how can they be managed effectively?

Recruiting Assistants often manage multiple job openings and candidate pipelines simultaneously, which can lead to a fast-paced and sometimes high-pressure environment. Balancing competing priorities, such as coordinating interviews, responding promptly to candidate inquiries, and supporting recruiters with administrative tasks, is a core challenge. Effective time management, attention to detail, and clear communication with both candidates and team members can help manage these demands. Leveraging applicant tracking systems and organizational tools also streamlines workflows and ensures nothing falls through the cracks.

Job description

About Base
Base is America's next-generation power company. We're rebuilding the foundation of modern civilization-electricity-by deploying a vast network of distributed batteries that is transforming today's fragile, centralized grid into a resilient and abundant system. We are engineers, operators, and creatives solving some of the most complex, interdisciplinary challenges of our time.
About the Role
We're hiring a Recruiting Coordinator to take ownership of the candidate experience and support hiring across the company. In this role, you'll set the tone for every candidate interaction, keep interviews running with precision, and jump in to solve problems before they slow us down. You'll partner closely with recruiters and hiring teams to help scale our talent pipeline and build the teams powering America's energy future. This role is on-site in our Austin, TX headquarters.
What You'll Do
  • Coordinate on-site interviews and handle day-of logistics.
  • Greet candidates who visit the office with confidence and facilitate the on-site interview process.
  • Correspond with candidates via phone, text, and email.
  • Keep our candidate data clean in Ashby so that it can be our source of truth for reporting.
  • Assist candidates with travel and reimbursements through Juno.
  • Find opportunities for system improvement, including identifying bottlenecks, improving candidate experience, and scheduling efficiency.
  • Support the full cycle recruiting process by collaborating closely with recruiters, hiring managers, and interviewers.
  • Support event planning in various ways, from placing merch orders to coordinating, planning, and setting up recruiting events.
  • Jump in on special projects that support scaling the recruiting function.

What You'll Bring
  • Highly organized and detail-focused; you notice and fix the small things that others miss.
  • Strong written and verbal communication skills; you approach interactions with the goal of being clear & concise.
  • Prior experience in a fast‑paced or startup environment.
  • Ability to pivot last-minute and keep operations running smoothly when variables change.

About the Team
At Base, Talent is one of the highest-leverage functions in the company. We believe the quality of our team determines the quality of everything we build, so hiring isn't a support function-it's a core part of our strategy.
Our team partners directly with leaders across Engineering, Operations, Product, Growth, Finance, Legal, People, and beyond to identify exceptional talent and build the teams that will define the future of Base. We own the hiring process end-to-end, challenge assumptions, raise the bar, and move with urgency.
We're building a Talent organization that combines exceptional judgment with operational excellence. We care deeply about candidate experience, hiring quality, and creating scalable systems that help the company grow without compromising on talent density.
Please note: Base is a startup, which means priorities shift and evolve quickly. Your role may expand or change based on the needs of the business at any given time, so the responsibilities listed may not be exhaustive.
Our Values
  • First Principles Thinking: Question assumptions. Principles > rules.
  • Operate at Base Pace: Focus on what matters, act quickly, and learn by doing.
  • Give & Get Feedback: Be direct, be humble, and maintain a growth mindset.
  • Everyone's an Owner: Follow through on commitments and own results.
  • Strong Opinions, Loosely Held: Drive clarity and make calls with imperfect information.
  • Committed to the Mission: Rebuilding the grid is a big challenge. We work hard because we care deeply about the impact we're creating. We work in-person. It's not a 9-to-5. We are all-in.
  • Fun & Optimism Coexist with Grit: Collaboration and celebration coincide with the intensity of building real things.
Do the best work of your life at Base.
