Job description

Payroll Analyst

The Payroll Analyst will support the day-to-day operations of a centralized payroll function, ensuring accurate and compliant payroll processing across multiple business units and jurisdictions. This role is responsible for auditing payroll activities, researching discrepancies, identifying trends and anomalies in payroll data, and ensuring issues are resolved in a timely manner. The position requires strong knowledge of multi-state payroll regulations, compensation practices, and payroll taxation in a high-volume, deadline-driven environment.

Key Responsibilities

  • Ensure accurate, compliant, and timely payroll processing using enterprise payroll systems

  • Maintain and update payroll-related records, including employee data, timekeeping information, and tax details

  • Support implementation and adherence to payroll best practices across operating groups

  • Investigate and resolve payroll discrepancies and respond to payroll-related inquiries

  • Audit and reconcile quarterly and annual payroll tax filings and respond to agency notices

  • Support payroll-related benefits administration activities

  • Prepare and maintain payroll and HR reports while ensuring confidentiality and accuracy

  • Ensure compliance with applicable federal, state, and local payroll regulations and wage laws

  • Collaborate cross-functionally with HR, payroll operations, and systems teams

  • Provide guidance and training to payroll support staff as needed

  • Review and audit payroll transactions processed by payroll team members

  • Audit and submit payroll files, including direct deposit, garnishment, and tax files, to payroll vendors

  • Reconcile and remit third-party payments, including retirement contributions and voluntary deductions

  • Process supplemental and off-cycle payroll transactions

  • Calculate and process payroll transactions impacting gross-to-net pay, including:

    • Base pay and overtime

    • Incentive and one-time payments

    • Termination and leave payments

    • Deductions and garnishments

    • Overpayments and recovery adjustments

    • Employee tax setup and maintenance

  • Prepare and upload payroll batch files according to system requirements

  • Assist with year-end payroll reporting and tax documentation

  • Support quarterly, monthly, and annual reconciliations and payroll tax balancing activities

  • Process manual checks and electronic payments for payroll corrections or off-cycle requests

Payroll Compliance & Controls โ€“ 20%
  • Review payroll data for accuracy, compliance, and unusual activity

  • Maintain payroll documentation and standard operating procedures

  • Research and resolve payroll tax notices and compliance issues

  • Assist with testing and implementation of payroll-related legislative or system changes

  • Support payroll system configuration testing and validation efforts

  • Recommend and implement process improvements and operational efficiencies

  • Perform additional duties as assigned

Qualifications

  • 2+ years of payroll processing experience in a high-volume, multi-state environment

  • Bachelor's degree in Accounting, Finance, Human Resources, Business Administration, or equivalent experience

  • Strong understanding of payroll operations, tax regulations, and wage and hour laws

  • Experience working with enterprise payroll platforms and third-party payroll providers

  • Strong analytical, mathematical, and problem-solving skills
