Job description

About the Role:

The Payroll Specialist plays a critical role in ensuring accurate and timely processing of employee compensation within the organization. This position is responsible for managing the end-to-end payroll process, including calculating wages, deductions, and taxes in compliance with federal, state, and local regulations. The Payroll Specialist will maintain payroll records, reconcile payroll accounts, and collaborate with HR and finance teams to resolve discrepancies. A key outcome of this role is to guarantee that all employees are paid correctly and on schedule, while adhering to company policies and legal requirements. Additionally, the Payroll Specialist will support audits and reporting activities to provide transparency and accuracy in payroll operations.

Minimum Qualifications:

  • Proven experience as a Payroll Specialist or in a similar payroll processing role.
  • Strong knowledge of payroll tax regulations and compliance requirements in the United States.
  • Proficiency in payroll systems and software, specifically Ultipro and PeopleSoft.
  • Excellent attention to detail and accuracy in handling payroll data.
  • Ability to manage confidential information with integrity and discretion.

Requirements:

  • 2–5 years of payroll experience
  • Proficiency in Microsoft Excel

Preferred Qualifications:

  • Certification in payroll management such as Certified Payroll Professional (CPP).
  • Experience working in a multi-state payroll environment.
  • Familiarity with additional payroll software platforms and HRIS systems.
  • Strong analytical and problem-solving skills to identify and resolve payroll discrepancies.

Responsibilities:

  • Process payroll accurately and on time using payroll software such as Ultipro and PeopleSoft.

  • Maintain and update payroll records, including employee information, tax data, and benefits deductions.
  • Reconcile payroll accounts and resolve discrepancies by collaborating with HR, finance, and other departments.
  • Prepare and submit payroll tax filings and reports to relevant government agencies in a timely manner.
  • Respond to employee inquiries regarding payroll issues and provide clear explanations and resolutions.
  • Assist with internal and external payroll audits by providing necessary documentation and reports.
  • Continuously review and improve payroll processes to enhance accuracy and efficiency.
