About the Role
We're looking for a Recruiting Coordinator to help scale Gallatin during a critical stage of growth. This is a highly operational, high-ownership role focused on delivering an exceptional candidate experience while keeping recruiting running efficiently behind the scenes. You'll own interview coordination, onsite execution, recruiting operations, and the countless details that allow recruiters and hiring managers to move quickly.
This role is based full-time in our El Segundo office and will play a critical role in facilitating onsite interviews and supporting candidates throughout the interview process. You should thrive in fast-moving environments, stay calm under pressure, communicate clearly, and genuinely enjoy being the person who keeps everything organized and moving forward. You're resourceful, proactive, and willing to jump in wherever needed.
This role is perfect for someone interested in building a long-term career in recruiting, recruiting operations, or talent acquisition.
What You'll Do
  • Coordinate and schedule virtual interviews across multiple teams and time zones, ensuring a seamless, high-touch candidate experience from scheduling through offer.
  • Facilitate in-person interviews in our El Segundo office, including candidate hosting, interview logistics, room coordination, travel, and day-of execution.
  • Partner closely with recruiters and hiring managers to keep recruiting processes moving quickly and efficiently while serving as the primary point of contact for candidates throughout the interview process.
  • Support recruiting operations across Ashby and other systems by maintaining accurate data, documentation, reporting, and recruiting resources.
  • Identify opportunities to improve recruiting processes, making them more scalable, organized, and candidate-friendly.
  • Thrive in a fast-paced environment by managing multiple competing priorities with urgency, accuracy, and exceptional attention to detail.

What We're Looking For
  • Experience in recruiting coordination, recruiting operations, HR coordination, executive scheduling, or another highly operational role.
  • Exceptional organizational skills and meticulous attention to detail.
  • Outstanding written and verbal communication skills.
  • Ability to manage a high volume of scheduling and coordination without sacrificing candidate experience.
  • Comfortable working in a fast-paced startup environment where priorities change quickly.
  • Strong judgment, professionalism, and discretion when working with candidates and executives.
  • Experience working with applicant tracking systems, ideally Ashby.
  • Comfortable learning new technology and using AI to improve efficiency and streamline administrative work.
  • Strong sense of ownership and willingness to jump into whatever is needed to support the recruiting team.
