Job description

A well-established law firm is seeking an experienced Executive Litigation Legal Secretary to provide high-level administrative and litigation support to a team of attorneys. This role is ideal for a detail-oriented professional who thrives in a fast-paced legal environment and enjoys managing complex workflows while serving as a trusted resource for attorneys and clients.

Key Responsibilities:

  • Draft, revise, and finalize a wide variety of litigation documents, including pleadings, motions, discovery requests, correspondence, and court filings.
  • Manage electronic filings in both state and federal courts while ensuring compliance with applicable court rules and deadlines.
  • Maintain attorney calendars, track critical case dates, and coordinate scheduling for hearings, depositions, meetings, and client conferences.
  • Organize case files and documents within the firm's document management system, ensuring accuracy and accessibility.
  • Assist with trial preparation, including compiling exhibits, preparing binders, coordinating logistics, and managing supporting documentation.
  • Support billing activities through time entry review, billing memo preparation, and attorney follow-up.
  • Coordinate travel arrangements, expense reporting, membership renewals, bar admissions, and continuing legal education requirements.
  • Serve as a professional point of contact for clients, courts, and outside counsel while maintaining strict confidentiality.
  • Proofread and format legal documents to ensure consistency, accuracy, and adherence to firm standards.
  • Conduct online research and assist attorneys with special projects and administrative initiatives as needed.

Qualifications:

  • Minimum of 7 years of litigation legal secretary experience required.
  • Prior experience supporting attorneys in a mid-sized or large law firm environment strongly preferred.
  • Extensive knowledge of state and federal court procedures, including electronic filing systems.
  • Advanced proficiency in Microsoft Office Suite, including Word formatting features such as styles, tables of contents, redlining, cross-referencing, and document comparison tools.
  • Experience with legal document management, timekeeping, billing, and expense management software.
  • Strong organizational skills with the ability to prioritize competing deadlines and manage multiple assignments simultaneously.
  • Exceptional attention to detail, communication skills, and commitment to delivering outstanding client service.
