Job Summary:

The Legal Secretary 2 provides legal secretarial and office administrative support requiring considerable knowledge of legal procedures, forms, and documents; provides legal secretary support to Board attorneys; prepares a variety of complex legal correspondence, using technical knowledge and expertise; and completes legal notices and forms.
This position may offer the ability to work remotely, within Arizona, based upon the department's business needs and continual meeting of expected performance measures.

Job Duties:

Answers a variety of inquiries concerning the progress of investigations or legal actions.
Completes data entry in ORBS/electronic databases and maintains follow-up records
relating to department legal matters; creates simple forms and surveys; and electronically files
document submissions and Board documents.
Receives and screens a variety of correspondence and telephone calls.
Provides guidance and technical direction to other board employees as requested; provides back up support in taking and preparing Board Meeting and committee minutes; and provides staff support for committees as assigned.

Knowledge, Skills & Abilities (KSAs):

Knowledge of:
Arizona Nurse Practice Act, general administrative law and policies and procedures for case management.
Skills in:
Microsoft Windows, Google Suite, Word, Excel, computer-based case management systems and portals, as well as office equipment;
English grammar and usage, in addition to legal and medical terminology sufficient to effectively prepare orders, decisions and correspondence;
Organizational skills;
Typing, word processing, and proofreading;
Oral and written communication;
Time management;
Excellent customer service.
Ability to:
Utilize legal forms and formats sufficient to prepare investigative reports and consent agreements;
Makes decisions and composes general correspondence;
Effectively manage projects and meet deadlines;
Manage a heavy workload with a high level of accuracy and production;
Review and interpret ALJ reports; understand laws, rules, policies and procedures;
Recognize and engage those with different backgrounds, and perspectives to bridge gaps in understanding of differing viewpoints, as well as ensuring persons with diverse perspectives are given the opportunity to collaborate and provide input.

Pre-Employment Requirements:

High school or equivalent
At least 5 years of Legal Secretary experience
At least 1 year of Google Suite experience
