What does a recruiting assistant do?

A recruiting assistant is involved in a company’s recruiting process. They are often employed in human resources departments (HR) and specialize in the recruitment of candidates for employment with the company. Job duties include contacting potential candidates, scheduling interviews, following up during the recruitment process, and updating employee records. They may also perform background checks and verify a candidate’s qualifications and experience. Qualifications for a career as a recruiting assistant usually include an undergraduate degree.

What does a recruiting assistant do?

A Recruiting Assistant supports the recruitment process by handling administrative tasks such as scheduling interviews, communicating with candidates, maintaining applicant tracking systems, and assisting recruiters with job postings and candidate sourcing. They help ensure that the hiring process runs smoothly and efficiently for both the HR team and applicants. Recruiting Assistants also may help with onboarding new hires, conducting initial screenings, and organizing recruitment events.

What are the key skills and qualifications needed to thrive as a recruiting assistant, and why are they important?

To thrive as a Recruiting Assistant, you need strong organizational skills, attention to detail, and a background in human resources or business administration, often supported by a relevant associate’s or bachelor’s degree. Proficiency with applicant tracking systems (ATS), HR software, and tools like Microsoft Office is typically required. Excellent communication, time management, and interpersonal skills help you build relationships with candidates and support recruiters effectively. These capabilities ensure efficient hiring processes, positive candidate experiences, and overall team success in a fast-paced recruiting environment.

What are some common challenges faced by recruiting assistants, and how can they be managed effectively?

Recruiting Assistants often manage multiple job openings and candidate pipelines simultaneously, which can lead to a fast-paced and sometimes high-pressure environment. Balancing competing priorities, such as coordinating interviews, responding promptly to candidate inquiries, and supporting recruiters with administrative tasks, is a core challenge. Effective time management, attention to detail, and clear communication with both candidates and team members can help manage these demands. Leveraging applicant tracking systems and organizational tools also streamlines workflows and ensures nothing falls through the cracks.

Title: Recruiting Manager
Location: Tampa, FL (Hybrid)
Compensation: Generous base salary + unlimited earnings potential
Benefits: Health, dental, vision, 401(k), cell phone reimbursement, substantial PTO
About Taylor White
Taylor White is a specialized accounting and finance solutions firm with over 25 years of experience supporting organizations with a full spectrum of talent and project needs. We deliver integrated solutions across permanent placement, interim consulting talent, and specialized project-based engagements using our own benched accounting and finance professionals. We are growing quickly and expanding into new markets, offering the stability of an established firm with the energy and opportunity of a startup.
Position Summary
We seek an experienced Recruiting Manager with a combination of strong business development skills and accounting/finance knowledge. This is a role which balances candidate sourcing, client development, and full lifecycle recruiting. You collaborate closely with experienced Recruiters and Account Managers while building and managing your own book of business in an entrepreneurial, high impact environment.
Key Responsibilities
  • Source and recruit candidates across all levels for Accounting and Finance roles
  • Manage the full recruitment lifecycle: sourcing, screening, interviewing, presenting candidates, and facilitating offers
  • Build and manage a client portfolio by identifying prospective companies, initiating outreach, conducting discovery calls, presenting service offerings, negotiating terms, and maintaining long-term relationships
  • Conduct candidate interviews to assess qualifications, career goals, and compensation expectations, while aligning candidate profiles with client needs and role specifications
  • Prepare candidates for client interviews by providing detailed guidance on expectations, company culture, and role requirements; debrief candidates and clients post-interview to ensure alignment and feedback exchange
  • Extend verbal offers to selected candidates, assist in negotiations, and coordinate with clients to finalize hiring decisions and onboarding timelines
  • Build and maintain a robust network of professionals using referrals, job boards, cold outreach, and social media
  • Contribute to creative recruiting initiatives including video content, blogs, and social media campaigns
  • Maintain accurate records in applicant tracking systems and internal databases

Qualifications
  • Bachelor's degree in Accounting, Finance, or a related field
  • 5+ years of total professional experience, with a background as a practicing accountant or finance professional (public accounting, corporate accounting, or similar) prior to transitioning into recruitment with an Accounting & Finance staffing agency required
  • Exceptional communication skills-both written and verbal
  • High attention to detail and analytical thinking
  • Proven ability to build and nurture professional relationships
  • Passion for helping others and a genuine interest in career development
  • Confidence, curiosity, and a willingness to learn and grow

Why Taylor White Is a Great Place to Work
  • People first culture built on relationships, empathy, and integrity.
  • Opportunity to apply accounting knowledge in a new, impactful way.
  • Highly collaborative environment with former accounting and finance professionals.
  • Chance to contribute meaningfully as the firm expands into new markets.
