Job description

Position: Project Assistant II
Reports to: Accounting Manager
Status: Full-Time, Non-Exempt (hourly)
Work Location: Sioux City - Office
Supervisory Responsibility: No
Position Summary:
Position provides administrative support to Story's project management teams and acts as a liaison between Story Construction, the subcontractors, and the suppliers. This position requires strong organizational skills, precision, and a keen eye for detail. This position is also providing support to the Estimating team in preparing documents, creating documentation, communicating with subcontractors and suppliers, and other administrative duties as required.
Project Assistant (60%)-
  • Organizes records, compiles reports, and maintains project files.
  • Accurately generate subcontracts, purchase orders, and other agreements within the appropriate software under the direction of the project management team.
  • Monitor document status until each has been executed, returned, scanned, and filed.
  • Generate subcontract/supplier lists for each project within the specified software.
  • Assist the Project Manager in setting up the project schedule of values and completing monthly pay applications.
  • Distribute monthly project reports.
  • Generate change event with pricing into potential change order, prime contract change order, and/or commitment change order.
  • Review certificates of insurance for required limits and endorsements.
  • Function as a liaison between Story Construction, subcontractors, and suppliers.
  • Participate in weekly planning meetings.
  • Maintain compliance with insurance and signed subcontractor documentation in specified software.

Estimating Assistant (30%)-
  • Becoming familiar with each project by reviewing specifications and drawings.
  • Preparing project documents for use within the digital takeoff software.
  • Collaborating with the estimating team for assigned divisions of work.
  • Supporting the estimating team by making phone calls to subcontractors & suppliers, sending emails for quotes & clarifications, scanning information, researching a variety of specified products, & other tasks that may be assigned.
  • Maintains positive relations with clients, subcontractors, and the community.
  • Other duties as assigned.

Qualifications:
  • High School Diploma or GED.
  • Experience working in an office environment.
  • Experience working proficiently with Microsoft Suites.
  • Professional communication skills which demonstrate diplomacy and clarity
  • Demonstrated math and problem-solving skills.

Travel: Occasional travel to jobsites may be expected; jobsites are located across the Siouxland area.
Working Conditions:
Primarily works out of the office; however, may be exposed to fumes, airborne particles, moving mechanical parts, vibrations, loud noises, and more within OSHA standards if visiting a jobsite. Must be able to use body members to work, move, or carry objects or materials. Required to operate a variety of automated office machines such as a computer, printer, fax machine, copy machine, calculator, telephone, etc.
